About the role
We are seeking a proactive and highly organised Business Support Officer to manage the internal team and effectively run the Service & Care office and its people. Reporting to the General Manager of Equipment and Service, the role supervises the Australian and Lebanon service office team, including allocation, customer care and accounts, and ensures all internal work is completed accurately, on time and in line with company procedures and compliance requirements.
Key Responsibilities
Take ownership of internal operations, removing day-to-day operational and administrative pressure from the General Manager.
Lead the Australian and Lebanon service office team and hold them accountable, so every job, enquiry and invoice is completed correctly and on time.
Oversee the accounts function to protect cash flow, ensuring jobs are invoiced promptly, debtors are followed up and suppliers are paid accurately.
Maintain continuity by stepping into any internal role when needed.
Deliver a professional,
reliable client service experience that supports the retention of service agreements.
Ensure internal functions are compliant, procedures are followed and records are current and auditable.
Oversee stock management so parts are available when and where technicians need them.
Assist the General Manager in delivering projects on time and within budget.
Drive continuous improvement that reduces rework, delays and cost.
Maintain clear communication with service technicians, contractors, clients, and internal teams.
Ensure optimal use of resources by balancing team workloads and client requirements.
Provide accurate and up-to-date reports on job status, resource allocation, and team performance.
Collaborate with clients to schedule routine and urgent maintenance tasks, ensuring minimal disruption to their operations.
Support administrative duties, including service documentation, reporting, and updating CRM systems.
About You
Robust coordination and communication skills.
Experience in service allocation, scheduling, or a similar role within a technical or trade-based industry.
Ability to manage multiple tasks and teams effectively.
Familiarity with Service Management systems such as SimPro and scheduling tools.
An understanding of the waste management or environmental services industry is advantageous but not essential.
Proficiency in Office 365 or similar software tools.
