As an IT Master Project Scheduler, you will play a critical role in managing the schedule, resource allocation, and overall coordination of a high-priority project. With expertise in Work Breakdown Structures (WBS) and Microsoft Project, you will work closely with cross-functional teams and key stakeholders to create, monitor, and update complex project timelines. Your leadership will ensure that the project remains on track, within the set timeframe and budget, while meeting both quality standards and client expectations.
In this role, you will be responsible for detailed planning, risk management, and the regular tracking of project progress. Your focus will be on ensuring that all stages of the project are executed smoothly by proactively forecasting timelines, providing regular updates, and making necessary adjustments to keep the project on schedule and within scope.
Key Responsibilities:
Develop and Maintain Project Timelines: Design and manage comprehensive project schedules using Microsoft Project, ensuring all tasks, dependencies, and milestones are logically sequenced through Work Breakdown Structures (WBS).
Risk & Schedule Management: Continuously assess project timelines, identify risks or potential delays early, and implement mitigation strategies to keep the project progressing as planned.
Collaborate Across Teams: Actively participate in weekly team meetings, providing insights into schedule progress, risk mitigation, and recommendations for adjustments.
Resource Allocation & Coordination: Use MS Project and other scheduling tools to allocate resources efficiently, track milestones, and report project progress to internal teams and external stakeholders.
Regular Updates & Reporting: Provide timely project updates and reports to senior management, clients, and stakeholders, including progress,
risks, and critical milestones.
Standardization & Best Practices: Drive the implementation of standardized scheduling practices, ensuring consistency across the project portfolio and alignment with organizational goals.
Stakeholder Communication: Proactively communicate potential impacts on project timelines, offering solutions to minimize disruptions and ensure smooth project execution.
Skills and Qualifications:
Education: Bachelor's degree in Business Administration, Project Management, or related field.
Experience: Proven track record in managing complex IT project timelines using MS Project and advanced scheduling techniques such as WBS. Experience with large-scale government projects is preferred.
Technical Skills: Advanced proficiency in Microsoft Project, including custom views, templates, and task dependency management.
Problem Solving: Strong analytical skills with an ability to assess data and make informed decisions to keep projects on track.
Communication: Excellent verbal and written communication skills, with the ability to collaborate effectively across various teams and provide clear updates.
Organizational Skills: Highly organized, with the ability to manage and prioritize multiple aspects of a project simultaneously in a fast-paced workplace.
Desired Experience:
Familiarity with project management certification programs or methodologies (e.g., PMP, Prince2).
Strong understanding of resource allocation, task sequencing, and progress tracking.
Experience with Agile frameworks or methodologies is a plus.
Ability to handle multitasking and manage competing priorities in a dynamic project environment.

This role requires you to work at the client site 3 days a week (Sydney CBD)
