Noosa District Basketball Association – home of the Noosa Cyclones – is looking for a friendly, capable, and highly organised Administration Officer to join our small but mighty team.
Administration sits at the heart of our busy basketball community. We are looking for someone who thrives on working with people, communicates clearly, and brings a calm, practical approach - even when several things need attention at once.
In this practical, hands-on role, your primary focus will be the end-to-end administration of our competitions. You will also serve as the welcoming "front door" for the NDBA whilst providing vital support to the Operations Manager. Whether handling inquiries from players, parents, coaches, referees, and volunteers, or liaising with external stakeholders, you will be the first point of contact and an essential part of ensuring every experience with the NDBA is positive and professional.
The Actual Role:
Working closely with our Operations Manager, you'll help keep the day-to-day administration of the Association running smoothly.
This includes:
Being the first point of contact at NDBA, responding to stakeholder enquiries by email, phone and in person;
Taking end-to-end ownership of our competition and programs administration, including but not limited to:
Responding to new enquiries about our competitions and programs;
Helping families with registrations, transfers and general competition information;
Maintaining accurate participant, team and competition records;
Updating BasketballConnect and other administrative systems;
Preparing and sending routine communications to members, teams and volunteers;
Assisting with draws, team lists, results and seasonal administration;
Supporting venue bookings, calendars and scheduling; and
Administration related to disciplinary and/or complaint processes.
Supporting the Operations Manager with other general admin as directed, including not but limited:
Helping with invoices, payment follow-up and other basic financial administration;
Maintaining documents, registers and shared records;
Supporting the administration of coaches, referees, volunteers and staff;
Liaising with sister clubs, and SCBA/Phoenix where required; and
Other administrative support as required.
There may also be some agreed afternoon, evening or weekend work required during busy competition periods and programs, especially at the beginning of seasons.
Who We're Looking For:
You don't need to be a basketball expert, but an interest in our sport would be super helpful.
Other than that, what matters most is that you are:
Warm, approachable and comfortable dealing with a wide range of people;
Genuinely organised, with solid attention to detail;
Able to manage competing priorities without becoming overwhelmed;
Comfortable working in an environment where interruptions are part of the day;
A clear and thoughtful communicator;
Confident using email, Microsoft Office, shared calendars and online systems;
Reliable, practical and willing to take ownership of your work;
Able to follow processes while also noticing when something doesn't quite make sense and providing input into process improvements;
Respectful of privacy and comfortable handling confidential information;
Happy working independently as part of a small, supportive team.
Previous experience in administration, customer service, community sport or a member-based organisation is essential.
You'll get bonus points if you have experience with BasketballConnect or a similar sporting platform, but if not, we can teach you.
Most importantly, we're looking for the right person - someone who cares about the quality of their work and the experience of the people they're helping.
Employment type:
Permanent full-time
Remuneration:
$***** per hour, plus superannuation, reviewed annually against Fair Work designated rates of pay.
Hours of work:
Envisaged as Monday to Friday, approximately 9am to 5pm. We're open to discussing some flexibility around those hours to suit both the needs of Noosa Basketball and the successful applicant.
Location:
Noosa Leisure Centre, Wallace Drive, Noosaville, plus other satellite locations on occasion by agreement.
Preferred commencement:
October ****
The successful applicant will either hold - or be willing to obtain - a current Working with Children Blue Card and complete NDBA's child-safety and organisational inductions.
A current driver licence and reliable transport will also be required. A current First Aid certificate is desirable, or NDBA can support the successful applicant to obtain one.

Creating this dedicated Competitions Administrator role is an important part of that work. This will allow us to provide better day-to-day support to our members while giving our Operations Manager the capacity to focus on coordinating competitions, supporting our people and progressing the Association's broader priorities.
