We are seeking a warm, organised and professional
Junior School Receptionist
to join Ipswich Grammar School.
As the first point of contact for our Junior School, you will play an important role in creating a welcoming and professional experience for students, families, staff and visitors. This is a varied position suited to someone who enjoys working with people, thrives in a busy environment and takes pride in keeping things running smoothly behind the scenes.
Reporting to the Head of Junior School, you will manage the day to day operation of Junior School Reception while providing reliable administrative support across the Junior School.
This position is offered on a permanent full-time basis, Monday to Friday.
Responsibilities of the role include:
Acting as the first point of contact for students, families, staff and visitors to the Junior School
Managing incoming telephone calls, enquiries, voicemail messages and general correspondence
Welcoming visitors and coordinating appropriate sign-in and visitor processes
Responding to counter enquiries in a professional, friendly and timely manner
Coordinating appointments, room bookings and general reception administration
Maintaining relevant records, contact lists and evacuation documentation
Processing School fee payments and assisting with general administrative tasks as required; and
Providing administrative support to the Head of Junior School and broader Junior School team.
The successful applicant may possess:
Previous experience in reception, administration, concierge or customer service
A professional, approachable and welcoming manner
Strong communication and interpersonal skills, both in person and over the phone
Excellent organisational skills with the ability to manage competing priorities
Confidence using Microsoft Office and other administrative systems
A high level of discretion and the ability to maintain confidentiality
Strong attention to detail and a proactive approach to getting things done; and
A collaborative attitude and willingness to contribute as part of a busy team.
