Rostering Coordinator / Allocations Officer
Relative Care Home Support Services Pty Ltd is seeking an organized, proactive and client-focused
Rostering Coordinator / Allocations Officer
to join our team.
This role is responsible for coordinating and maintaining efficient daily and ongoing rosters across our
Aged Care Support at Home and NDIS services
, ensuring clients receive reliable, safe and consistent support from appropriately matched workers.
You will coordinate services including personal care, domestic assistance, social support, community access, transport, in-home support and other community-based services delivered by Relative Care.
As a key point of contact between clients, support workers and the wider care team, you will manage planned and unplanned roster changes, staff availability, shift replacements and service scheduling while maintaining a strong focus on
continuity of care, client preferences and quality service delivery

Key Responsibilities
Your responsibilities will include:
Develop, coordinate and maintain efficient daily and ongoing staff rosters across Relative Care's Aged Care Support at Home and NDIS services.
Allocate appropriately skilled and suitable support workers to clients based on client needs, preferences, location, availability, qualifications, competencies and service requirements.
Promote continuity of care by maintaining consistent support worker allocations wherever reasonably possible.
Coordinate planned and unplanned shift replacements, including staff illness, leave, cancellations and changes in client requirements.




Respond promptly to urgent roster changes and service requests to minimize disruption to clients.
Monitor unfilled shifts and take proactive action to ensure scheduled services are appropriately covered.
Maintain accurate information regarding staff availability, working hours, leave and scheduling restrictions.
Communicate roster changes clearly and promptly with clients, support workers and relevant members of the care team.
Liaise with Care Partners/Care Coordinators regarding changes in client needs, preferences or circumstances that may affect service delivery.
Respond professionally to support worker enquiries, availability changes and roster concerns.
Communicate with clients, family members and representatives regarding scheduled services where appropriate.
Ensure client preferences, service requirements and relevant support instructions are accurately reflected when allocating workers.
Escalate concerns relating to missed services, client safety, worker suitability, incidents or changes in client circumstances to the appropriate Care Partner/Care Coordinator or manager.
Monitor workforce utilization and identify opportunities to improve roster efficiency while maintaining quality and continuity of care.
Roster in line with the SCHADS Award, including broken shifts, sleepovers, minimum breaks and overtime implications.
Assist with coordinating services for new clients and changes to existing service schedules.
Maintain accurate and up-to-date rostering and scheduling records within Relative Care's systems.
Support effective communication between the Rostering, Care Management and operational teams.
Maintain confidentiality and handle client and employee information appropriately.
Participate in after-hours or emergency rostering arrangements where required by the position.
Contribute to continuous improvement in rostering, workforce coordination and client service delivery.
Liaise with support workers to track and update their compliance documents.
Participating in an
after-hours phone roster
, including evenings and weekends, to assist with urgent staffing changes, participant cancellations and shift coverage when required.
About You
We are looking for someone who is highly organized, responsive and genuinely committed to providing excellent service to clients and support workers.
You will ideally have:
Previous experience in
rostering, allocations, scheduling, workforce coordination, aged care, disability services, community care or a similar service environment
.
Experience working within Aged Care,



Support at Home or NDIS services will be highly regarded.
Strong organizational and time-management skills.
Excellent attention to detail and the ability to manage multiple competing priorities.
Strong verbal and written communication skills.
A professional and respectful approach when communicating with older people, people with disability, families and support workers.
Strong problem-solving skills and the ability to make timely decisions when roster changes occur.
Ability to remain calm and organized when managing urgent or unexpected staffing issues.
Ability to work independently while contributing effectively within a collaborative team.
Solid computer literacy and confidence learning and using rostering, client management and workforce management systems.
Intermediate to advanced Microsoft Office skills.
Understanding of confidentiality, privacy and professional boundaries.
A current Australian Driver License.
A current National Police Check, or willingness to obtain one.
Ability to meet applicable worker screening and employment requirements relevant to the services delivered by Relative Care.
