Safety & Training Administrative Assistant

About The Role:
Reporting to the Head of Operational Risk, this role provides centralised administrative support across the compliance, competency and record-keeping activities of the Risk and Safety functions of our Australian and New Zealand businesses.
You will support a broad range of administration activities, including training coordination, licence and competency records, contractor compliance, apprentice program administration, safety system updates, reporting and general team support.
This role would suit someone with a couple of years' administration experience who is confident communicating with others, comfortable using spreadsheets and cloud-based systems, and enjoys keeping information accurate, organised and up to date.
In an average week in the life of this role, you might:
Schedule, book and coordinate safety and technical training with RTOs and external providers
Manage training confirmations, calendar invitations, joining instructions and attendance records
Maintain accurate training, licensing and competency records across branches in Australia and New Zealand
Monitor licence, ticket and competency expiries, including high-risk work licences
Support administration and record keeping for eLearning modules and completions
Assist with apprentice program administration, including enrolments, records, scheduling and provider liaison
Review and process contractor licence, insurance and competency documentation




Support safety-related tender, prequalification and customer compliance portal administration
Assist with data entry, reporting, invoicing, registers, documentation, meeting coordination and general WHSE administration

About You:
You don't need to be a safety expert.
We're looking for a capable administrator with great attention to detail, a helpful communication style and the confidence to coordinate information across different people and systems.
To be successful, you will bring:
Previous administration experience in an office, reception,



coordination or support role
Strong attention to detail and accuracy with data entry and record keeping
Confidence communicating by phone and email with internal teams, customers, suppliers and external providers
Good computer skills, including Microsoft Office, Outlook, Excel and Word
The ability to manage a varied workload, follow up information and keep tasks moving
A positive, professional and friendly approach
Experience with training bookings, compliance, WHSE, licensing or contractor documentation would be helpful, but is by no means a deal-breaker. We can teach the right person.

Important note - Christmas shutdown period:
We are looking for someone to commence before Christmas where possible. Adaptalift will have a business shutdown period from Monday 21 December, returning to work on Monday 11 January ****.
