Envirocare Systems is looking for a highly organised
Service Administration Officer
to help prepare and support the daily work of our field service team.
This is an important role for someone who enjoys creating order, communicates confidently and takes satisfaction from knowing that the details have been handled properly.
You will work with an experienced Service Systems Officer and use well-developed business systems to prepare daily service work, support clients and technicians and ensure outstanding matters are followed through.
This is not a specialist scheduling or management position. It is an opportunity for a capable administrator to take genuine ownership of an important daily process within an established local business.

Envirocare Systems is a locally owned commercial hygiene business based in Welshpool. We provide recurring hygiene services to a diverse range of client sites across the Perth metropolitan area.

The Role
Nexus maintains our recurring service commitments, including when each job is due and the technician normally assigned to complete it.
Upcoming work is exported from Nexus into
Envirocare ServicePilot
, our service-planning workbook. ServicePilot helps organise work into efficient daily routes, calculates travel and service times, checks technician qualifications and site inductions, identifies access and service requirements, and generates stock-picking information.
You will use this information to prepare daily run sheets, issue the work due to the assigned technicians and ensure identified requirements are addressed before attendance.
You will also answer routine calls and emails, support clients and technicians,
process new and changed service work and keep outstanding matters moving until they are resolved.
You will work closely with our Service Systems Officer. While your primary focus will be the daily workflow, the Service Systems Officer maintains much of the information and systems supporting it. You will share knowledge, support each other and provide practical coverage when required.
What You Will Be Responsible For
You will take ownership of the daily service-administration workflow. Your responsibilities will include:
Preparing and issuing properly organised daily work to our field service technicians.
Responding accurately and helpfully to routine client and technician enquiries.
Processing current jobs, service changes, installations, corrective work and return visits.
Keeping incomplete work, service issues and outstanding actions visible until resolved.
Completing the routine operational administration supporting stock, service records, site visits and vehicle requirements.
Working closely with the Service Systems Officer to maintain a dependable and resilient administration team.
The outcome is a field service team that begins each day properly prepared and receives reliable administrative support throughout its work.
The Person We Are Looking For
This role will suit someone who takes satisfaction from creating order, working methodically and ensuring important details are handled properly.
You may come from service administration, trades administration, customer service, logistics support or another environment where accurate information, clear communication and dependable follow-through matter.
You will need to:
organise your work carefully and maintain a clear view of what requires attention;
communicate confidently and helpfully with clients, technicians and colleagues;
pay close attention to detail while understanding what needs to happen next;
take ownership of outstanding matters and follow them through without repeated reminders;
use systems, routines and available information to work efficiently;
respond calmly and practically when circumstances change;
recognise unclear or incomplete information before it creates a problem;
be comfortable working with Excel, Microsoft 365 and business software; and
work cooperatively and share responsibility with another experienced team member.
Previous workforce-scheduling experience is not required. Experience with field-service businesses, trades administration, Nexus or similar systems would be useful but is not essential.
Our systems and service requirements can be taught. What matters most is strong organisation, clear communication, careful attention to detail and the dependability to keep important work moving.

A fixed salary of $73,000 plus superannuation.
