Our State Government client is seeking an experienced Administrative Assistant to provide high-level administrative support within a busy operational environment. This role offers the opportunity to work across a diverse range of administrative functions while supporting critical security-related services and systems. The successful candidate will be highly organised, customer-focused, and capable of managing competing priorities in a fast-paced environment.
Your new role
Reporting to the Security Operations Manager, you will play a key role in ensuring the efficient administration of security operations, access control systems, and departmental processes. This position combines traditional administration duties with database management, procurement coordination, customer service, and record management responsibilities. Key responsibilities include:
- Provide comprehensive administrative support to the department.
- Manage staff identification cards, access cards, and master key allocation processes.
- Maintain and update access control databases and security records.
- Program and manage security access levels, schedules, and zones within the access control system.
- Process replacement access cards and maintain associated payment and receipt records.
- Maintain key registers, coordinate key orders, and manage allocation to staff.
- Manage departmental procurement activities, including invoice processing and purchase requests.
- Reconcile EFTPOS transactions and maintain accurate financial records.
- Coordinate reception and customer service functions for the department.
- Maintain training records, databases, filing systems, and shared electronic records.
- Update departmental rosters and support workforce administration activities.
- Liaise with internal stakeholders and external customers regarding security-related matters.
- Coordinate stationery and office supply orders.
- Prepare reports and provide database information as required
- Previous experience within a healthcare, government, facilities, security, or customer service environment.
- Experience working with access control systems, rostering systems, procurement platforms, or record management systems.
- Understanding of customer service principles in a complex operational environment.

- Previous experience in an administrative support role.
- Strong organisational skills with the ability to manage multiple priorities and deadlines.
- Excellent written and verbal communication skills.
- Strong interpersonal skills and the ability to build effective working relationships with a diverse range of stakeholders.
- Experience maintaining electronic records and databases.
- Proficiency across Microsoft Office applications, including Outlook, Word and Excel.
- Ability to work autonomously while contributing effectively within a team environment.
- High attention to detail and commitment to maintaining accurate records.
