The Role

As the APS 6 Project Support Officer, you will play a key role in enabling effective program delivery by providing day-to-day support across project administration, financial management, governance, reporting, records management and stakeholder coordination activities.

You will work collaboratively with project, commercial, engineering, logistics and industry stakeholders to ensure program activities are delivered efficiently and in accordance with Defence governance requirements.

This role requires strong organisational skills, sound judgement, attention to detail and the ability to manage competing priorities within a dynamic and complex environment.

This position is based at Russell, ACT, supporting Navy capability outcomes across the broader EFFECTS Program.

This will entail:

- Providing project and business support services to Project Managers, Product Managers and Integrated Delivery Teams across acquisition and sustainment activities.
- Preparing, coordinating and maintaining project documentation, including briefs, correspondence, reports and schedules, meeting minutes, governance artefacts and presentation material.
- Assisting with financial management activities, including expenditure tracking, invoice processing, forecasting, budget reporting and financial data reconciliation.
- Supporting procurement and contract administration activities in accordance with Defence policies and procedures.
- Maintaining project information, records and data repositories to ensure documentation is accurate, current and compliant with Defence record-keeping requirements.
- Coordinating meetings, workshops and governance forums, including the preparation of agendas, papers, action registers and records of decisions.
- Assisting with the collection, analysis and reporting of project and program data to support informed decision-making.
- Supporting the management of risks, issues, actions and dependencies through the maintenance of project registers and reporting products.
- Contributing to the development and continuous improvement of business processes, governance arrangements and administrative practices.
- Providing flexible administrative and project support across the EFFECTS Program in response to changing priorities and business needs.

This role has been identified as requiring access to International Traffic in Arms Regulations (ITAR) controlled technologies. The ITAR is United States (US) law that controls the manufacture, sale, use and access of defence and military end-use articles on the United States Munitions List.

It is the policy of the US to deny exports of ITAR controlled technologies to proscribed countries.

This may also apply to access by persons who hold or have held a citizenship, or current permanent residency, of said countries. Defence utilises workforce mechanisms to mitigate these restrictions, which will require applicants provide details of all current citizenships and permanent residencies, as well as previously held citizenships. Defence collects citizenship details to confirm an applicant’s eligibility for the role and to maintain compliance with international obligations.
