Customer Support & Administration Assistant — Northern Rivers pool builder

We're after someone who genuinely likes people and likes getting things done. Not a seat-filler.
At Dynamic Pool Designs, we build custom concrete, fibreglass and precast pools across the Northern Rivers and Gold Coast. Our clients are usually building the backyard they've been imagining for years, so how they're looked after along the way matters as much as the pool itself. That's where you come in.
This is a brand-new role, created because our team has grown and we want to ensure our customers are looked after properly, while giving our existing team the time and space to keep providing quality service.
The team
A close-knit, supportive crew who take the work seriously, but not ourselves. Expect plenty of laughs, a bit of banter, and people who'll pitch in when it gets busy.
The role
You'll be the first voice and the first face of the business. You'll also be the person who quietly keeps things moving behind the scenes.
As an example of what a typical day looks like:
- Answering incoming calls, sorting out what you can on the spot and giving customers quick, accurate updates on where their pool is up to
- Welcoming walk-ins to our Chinderah showroom and making sure they feel looked after from the moment they arrive
- Taking new enquiries, capturing the detail properly and getting them to the right consultant
- Making check-in calls to customers during their build, and confirming upcoming start dates with trades
- Coordinating warranty and after-sales requests — logging them, booking the right person to attend, and following through until the customer is sorted
- Keeping our contractor licence and insurance records current, and chasing up documents before they expire
- Attending our daily team online huddles and staying updated on work in progress
- General administration: filing, data entry, document preparation and supporting the wider team
You'll report to our Operations Manager, with day-to-day support from our Construction & Client Experience Coordinator. You won't be thrown in the deep end — the role is built to grow over your first few months with plenty of support.
What we're looking for
- At least 2 years in customer service, reception or administration. Construction, trades, retail or hospitality backgrounds all work well here.
- A confident, warm phone manner. You can handle a frustrated customer without it ruining your morning.
- Genuinely organised. You can juggle interruptions and still finish what you started.
- A problem solver. You'd rather work something out than hand it straight to someone else.
- Comfortable with Microsoft Office and Google Workspace. Experience with a CRM or Monday.com is a bonus, not a dealbreaker.
- Accurate. Dates, names and numbers matter in this job.
- A sense of humour. You can share a laugh with the team and still get the job done properly.
