Description

As an Executive Assistant to the Chief Financial Officer, you’ll provide trusted, high-level support that enables the CFO to operate effectively and remain focused on ART’s strategic priorities.

Working closely with the CFO and senior leaders across the organisation, you’ll manage a complex diary, coordinate executive meetings and travel, prepare high-quality briefing materials, and support the timely delivery of Board and Committee papers. You’ll anticipate emerging needs, confidently manage competing priorities and act as an important connection point for internal and external stakeholders.

This role is a permanent chance and is based in Brisbane.

Responsibilities

Day to day, you'll:

- Proactively manage the CFO's diary, inbox, correspondence and scheduling requirements.
- Ensure the CFO is prepared for meetings and engagements by coordinating information and stakeholder requirements.
- Organise the timely preparation, review and submission of Board, Committee and Management Committee papers.
- Liaise with senior leaders, Board representatives, Committees and key internal and external stakeholders.
- Coordinate meetings, workshops, offsites, functions and leadership events from planning through to execution.
- Monitor changing priorities and proactively identify and resolve scheduling or operational challenges.
- Review expenses, reconcile corporate credit card statements and support budget administration activities.




- Manage purchase orders and support financial administration processes in partnership with Finance teams.
- Support compliance obligations, governance activities and team training requirements.
- Prepare comprehensive executive day packs, presentations, briefing materials and meeting documentation.
- Build strong relationships with Executive Assistants across the organisation to drive consistency and continuous improvement.
- Support office management, team engagement activities and cross-functional initiatives as required.
- Provide project coordination and ad hoc support across a range of strategic business initiatives.
- Coordinate domestic and international travel arrangements, including detailed itineraries and last-minute changes.

Qualifications

It goes without saying you'll be a great communicator with top notch interpersonal skills. We'll also expect you to pick up problems and come up with quick, creative ways to solve them. It's quite likely you tick some of the following boxes too:

- A high level of administrative, conceptual and analytical skills and experience in supporting C-Suite Executives.
- Excellent verbal and written skills for engaging both internal and external stakeholders.
- Highly independent worker who takes full ownership of daily tasks with miminal guidance.
- Demonstrated ability to prioritise workloads and meet deadlines.
- Strong critical thinker capable of making sound judgements independently.
- Proven ability to manage sensitive matters with a high level of confidentiality and discretion.
