Support a federal PMO across governance, reporting and scheduling, contributing to portfolio-level project controls and PMO improvements.

Our client is a federal government agency that delivers a portfolio of projects supported by a central Program Management Office (PMO).

The PMO provides governance, reporting, scheduling and project controls to project teams across the agency, and maintains the frameworks and templates those teams work to.

The Opportunity

This role supports business continuity and capability uplift across the PMO, keeping governance, reporting and scheduling on track while the team’s frameworks and documentation are strengthened.

You’ll work directly with the Director PMO and Deputy Director PMO, who will review the reporting and briefing materials you draft.

The role also contributes to handover and transition documentation, so the PMO’s knowledge is captured and ongoing operations are well supported.

You’ll have the chance to:

- Work directly alongside the Director PMO and Deputy Director PMO, with your draft briefings and reporting reviewed at senior PMO level
- Get hands-on exposure to portfolio-level governance, reporting and project controls across multiple projects
- Contribute to PMO templates, guidance and process improvements, with real input into how the PMO operates rather than just maintaining existing material
- Work under limited direction, with the trust to manage your own priorities and deliverables
- Contribute to the PMO’s knowledge repositories and handover documentation, leaving a lasting mark on how the team operates.

The Role

As Project Support Officer, you’ll provide governance, reporting, scheduling and administrative support to the PMO, working closely with the Director PMO, Deputy Director PMO and the Project Scheduler.

You’ll be:

- Coordinating governance meetings, prepare agendas, minutes and action registers, and maintain governance records
- Maintaining project and portfolio reporting, including status reports,



action logs, and risk and issue registers
- Preparing executive briefings, reporting packs and governance artefacts for review by the Director PMO and Deputy Director PMO
- Supporting the Project Scheduler in maintaining project schedules and milestone reporting
- Tracking project progress, key deliverables and dependencies, and keep project records and documentation up to date
- Supporting project coordination and communication activities across the agency’s projects
- Developing and maintaining PMO templates, guidance materials and governance documentation
- Supporting improvements to PMO processes, reporting practices and project controls
- Maintaining PMO knowledge repositories and document management arrangements, and draft handover materials to support ongoing PMO operations

The Ideal Person

You’re an organised PMO or project support professional who’s comfortable working under limited direction and producing governance and reporting material that senior leaders can rely on.

You will bring the following skills and experience:

- Experience supporting project management, governance or PMO functions
- Experience preparing project reporting, governance documentation and briefing materials
- Experience maintaining project schedules, registers and project management artefacts
- Strong organisational, administrative and coordination skills
- Strong written communication and stakeholder engagement skills
- Experience contributing to the development and maintenance of templates, procedures and guidance materials
- Experience using Microsoft 365 applications, including Excel, Word, SharePoint, PowerPoint and Teams
- The ability to manage competing priorities and deliver quality outcomes within agreed timeframes

An Australian citizenship and a current Baseline security clearance is essential.

Additionally, a current Negative Vetting 1 (NV1) security clearance is desirable.

Salary / Rate

- $60/hr – $68/hr + Super
- 6-month labour hire contract with a 3-month extension
- Based in office in Canberra
