About the Role:
Quay Shipping represents international principals in Australia across breakbulk, project cargo, car carrier and RoRo trades. As the Vessel Operations Officer, reporting directly to the Head of Operations, you'll own each port call from the proforma disbursement account (PDA) through to final invoice approval. You'll be involved in:
- Preparing PDAs, obtaining port and marine cost estimates, and quoting stevedoring, pilotage and towage
- Lodging Impending Arrival Reports in the Australian Border Force Integrated Cargo System (ICS) within the required window
- Creating vessels and voyages in CargoWise and appointing husbandry agents and stevedores
- Coordinating cargo operations with stevedores, terminals, port captains and transport providers, including attending pre-operations meetings
- Providing daily berthing updates to principals and issuing arrival and departure reports
- Arranging vessel support services - crew changes, medical visits, fresh water, spare parts and cash to master
- Managing biosecurity requirements, including BMSB treatment and biofouling documentation
- Managing husbandry agent performance against agreed service levels
- Identifying and managing risks to schedule integrity, including rotation changes, berth delays and weather
- Running the marine incident response process for any injury, cargo damage or near miss
- Verifying all port and service invoices against the approved PDA and finalising disbursement accounts for Trade Accounts
- Keeping vessel folders, checklists and CargoWise records accurate and complete
About You:
The successful candidate will be an experienced shipping professional who has:
- 3-7 years' experience in shipping agency, shipping line operations, port operations or maritime logistics
- A strong understanding of port call processes for breakbulk, project and RoRo cargo
- Experience preparing PDAs and checking port disbursement invoices
- Experience working with stevedores, terminal operators and husbandry agents
- Working knowledge of the ICS and CargoWise (or similar agency systems)
- Knowledge of Australian maritime, border and biosecurity requirements
- Commercial awareness and sound judgement in an operational environment
- Decisive problem-solving skills and the ability to perform under time pressure
- Strong written and verbal communication skills
- High attention to detail and confidence with Excel and structured checklists
- Availability for after-hours contact when assigned vessels are in port or a disruption requires it
- A tertiary qualification in maritime, logistics or business is desirable but not essential
