Talent Acquisition Operations Specialist: Australia Onboarding
Location: Melbourne, Australia

About the Role
We are looking for an experienced Talent Acquisition Operations professional to manage end-to-end onboarding operations for our Australia portfolio. You will own the candidate onboarding journey from offer acceptance to Day 1 readiness, ensuring every step meets Australian employment law, documentation, and compliance requirements. You will work closely with business stakeholders, clients, and internal teams to deliver a smooth, timely, and compliant onboarding experience.
Key Responsibilities
- Manage day-to-day operational activities for the Australia onboarding portfolio, from offer release through to joining.
- Coordinate pre-employment documentation and checks, including right-to-work verification, identity checks, police checks, and role-specific clearances.
- Prepare and issue employment contracts and onboarding packs aligned to Australian requirements (e.g. Tax File Number declaration, superannuation choice, Fair Work Information Statement).
- Partner with internal teams, clients, and external vendors (background verification providers, payroll, HR, IT) to drive timely deliverables.
- Ensure process compliance, governance, and adherence to agreed SLAs and quality standards.
- Maintain accurate candidate records and trackers, and ensure data handling aligns with Australian privacy obligations.
- Identify operational risks, delays, and compliance gaps, and proactively drive resolutions.
- Prepare regular MIS and reports on onboarding status, turnaround times, and drop-off trends for stakeholders.
- Support process improvement, automation, and transformation initiatives to improve candidate experience and efficiency.
Required Skills and Experience
- 4 to 5 years of experience in Talent Acquisition Operations or HR Operations, with strong specialization in Australia onboarding.
- Sound knowledge of Australian employment laws and onboarding documentation, including the Fair Work Act, National Employment Standards, modern awards, superannuation, and visa/work rights checks.
- Proven ability to work independently and manage end-to-end processes with minimal supervision.
- Excellent communication and stakeholder management skills, with confidence in handling client and business interactions.
- Solid analytical and problem-solving abilities, with attention to detail.
- Experience in high-volume, compliance-driven environments is preferred.
- Ability to manage multiple priorities while maintaining quality and meeting turnaround timelines.
- Proficiency with ATS/HRIS platforms and MS Excel for tracking and reporting.
Good to Have
- Experience supporting onboarding for IT, BFSI, or professional services clients.
- Exposure to process improvement methodologies or workflow automation tools.
- Experience working with offshore or global delivery teams.
Qualifications
- Bachelor's degree in Human Resources, Business Administration, or a related field.
- HR certification is an advantage.
