Allied Health Administration Assistant

About All Thrive Allied Health

All Thrive Allied Health is a growing multidisciplinary allied health practice providing person-centred support to NDIS participants, Support at Home clients, Medicare funded and private patients across Melbourne.

Our service includes Dietetics, Occupational Therapy, Physiotherapy, Child Psychology and Speech Pathology. We pride ourselves on providing warm, practical and individualised care while making the referral and therapy process as seamless as possible for participants, families and support teams.

We are looking for a reliable and organised Administration Assistant to join our growing team on a contractor basis.

About the role

This role will support the day-to-day administration of All Thrive, with a particular focus on onboarding new referrals, invoicing using the Halaxy platform and supporting our clinicians with basic administrative tasks.

The position would suit someone who is highly organised, proactive and comfortable working independently. Allied health or NDIS administration experience is highly desirable, but we are happy to consider someone with strong administration skills who is willing to learn.

Key responsibilities

Referral & client onboarding

- Receive and respond to new client referrals
- Contact participants, families, Support Coordinators and other referrers as required
- Collect and enter client information and referral documentation
- Coordinate intake and onboarding paperwork
- Set up recent clients and services within our practice management system
- Ensure required documents, consent forms and service agreements are completed




- Liaise with clinicians to coordinate new referrals and appointments
- Follow up outstanding information or paperwork

Invoicing & accounts

- Prepare and process invoices for clients
- Check invoices for accuracy before submission
- Follow up outstanding invoices and payments
- Assist with NDIS-related administration and billing
- Liaise with Support Coordinators, Plan Managers and other stakeholders regarding invoices where required

General administration

- Maintain accurate client records
- Assist with appointment and diary management
- Support clinicians with administrative tasks
- Respond to general emails and enquiries
- Maintain referral and client tracking spreadsheets
- Identify opportunities to improve administrative processes and systems
- General ad-hoc administrative support as the business grows

About you

We are looking for someone who is:

- Highly organised and detail-oriented
- Reliable and proactive
- Comfortable managing multiple tasks and deadlines
- A confident communicator with a warm and professional manner
- Comfortable communicating with participants, families and healthcare professionals
- Able to work independently and take initiative
- Tech-savvy and confident learning new systems
- Comfortable with spreadsheets, email and online systems
- Respectful of privacy and confidentiality




- Interested in working within a growing allied health business with integrity at it's core

Experience in NDIS, allied health, healthcare administration or practice management is highly regarded.

Experience with Halaxy and/or NDIS invoicing would be a significant advantage, but training can be provided for the right person.

Hours

This is a casual position starting at 5 hours a week, with the potential for additional hours as All Thrive continues to grow.

Hours can be flexible and may be completed remotely, with some preference for availability during standard business hours to respond to referrals and communicate with clients and clinicians.

The exact hours will depend on the successful applicant's experience, skill level and availability.
