As the firm's client base and cross-border work continue to develop, KWL Lawyers has identified an increasing need for dedicated skilled capability in relation to Chinese laws, regulations, judicial practice, regulatory requirements and government policy.
About the Role
KWL Lawyers is seeking a Legal Secretary to provide specialised secretarial, clerical and administrative support to the firm's legal practitioners in matters involving Chinese clients and Australia-China cross-border legal and commercial transactions.
The successful candidate will work closely with the firm's legal team, providing essential support on matters that involve Chinese legal, regulatory and commercial considerations.
Key Responsibilities
- Preparing, formatting and proofreading legal documents, correspondence, reports and briefing notes relating to China-related matters
- Transcribing dictation and drafting correspondence involving Chinese clients and stakeholders
- Answering telephone calls, responding to inquiries from Chinese-speaking clients, and redirecting calls as appropriate
- Greeting visitors, ascertaining the nature of their business and directing them to the appropriate person
- Liaising with clients, counsel, external stakeholders and Chinese parties to arrange meetings and exchange information
- Maintaining appointment diaries, coordinating travel arrangements and scheduling meetings
- Processing incoming and outgoing mail, filing correspondence and maintaining electronic and physical records
- Assisting with billing, trust account administration and file management
- Preparing court documents, briefs for Counsel and supporting trial preparation where required
- Reviewing and organising documentation originating from China, including Chinese legal, regulatory and commercial materials
- Providing administrative support in cross-border commercial transactions, disputes, corporate matters and investments involving a China-related component
- Maintaining confidentiality of client information and complying with the firm's policies and procedures
Essential Requirements
- Fluency in written and spoken Chinese (Mandarin) is essential for communicating with Chinese-speaking clients and reviewing documentation originating from China
- Proficiency in English (written and verbal) sufficient to communicate with Australian legal practitioners
- Strong knowledge of legal terminology, procedures and documentation
- Excellent organisational skills and attention to detail
- Proficiency in Microsoft Office suite and legal practice management software
- Ability to manage competing priorities and work autonomously
Desirable Requirements
- Previous experience as a Legal Secretary, Legal Assistant or similar role in a legal practice
- Experience supporting legal practitioners in property, commercial or litigation law
- Experience with legal document preparation, court filing processes and matter management
- Understanding of billing and trust accounting processes
- Familiarity with Chinese business practices, cultural norms and legal documentation conventions
- Experience working with Chinese clients or on Australia-China cross-border matters
Qualifications
- AQF Diploma or higher in a field highly relevant to the occupation (Law, Legal Services, Legal Practice, Legal Studies, Business Administration or Business)
- Relevant employment experience may substitute for formal qualifications
Pay: $80,000.00 – $100,000.00 per year
