About the role
We are seeking an experienced Casual NDIS Administration and Rostering Officer to work remotely and support our growing organisation.
The successful applicant must have practical experience using ShiftCare, particularly for rostering, participant and employee records, timesheets, progress notes and compliance monitoring.
The position will initially provide approximately six hours per week, normally worked as two agreed three-hour weekday shifts. Monday and Friday are preferred. The arrangement will be reviewed after two months, with the possibility of increased hours as the organisation grows.
No weekend or public-holiday work is required.
Key responsibilities
- Create, maintain and update participant and support-worker rosters in ShiftCare
- Match workers with participants based on availability, skills, location and participant preferences
- Confirm shifts and manage cancellations, roster changes and unfilled shifts
- Check timesheets, clock-in records, kilometres and progress notes for completeness
- Maintain participant and employee profiles and records in ShiftCare
- Monitor worker screening checks, qualifications, training and document expiry dates
- Follow up missing documents, timesheets and progress notes
- Assist with participant and employee onboarding
- Maintain compliance registers, calendars and audit-ready electronic records
- Assist with service agreements, consent forms and general correspondence
- Check service-delivery records before invoicing or payroll processing
- Escalate incidents, complaints, missed shifts and compliance concerns to management
- Handle participant, employee and business information securely and confidentially
Essential requirements
- Demonstrated practical experience using ShiftCare
- Previous rostering or administration experience with an NDIS, disability, aged-care, healthcare or community-services provider
- Understanding of NDIS documentation, worker compliance and record-keeping requirements
- Excellent organisation and attention to detail
- Strong written and verbal communication skills
- Confidence using Microsoft Office, Google Workspace and cloud-based systems
- Ability to work independently and meet deadlines with limited supervision
- A private and secure home workspace with reliable internet access
- Full Australian working rights
- Availability for two three-hour weekday shifts, preferably Monday and Friday
Highly regarded
- Experience with NDIS participant and worker onboarding
- Experience preparing documentation for NDIS audits
- Experience maintaining compliance and expiry registers
- Experience checking records for payroll, invoicing or NDIS claims
- Familiarity with the NDIS Practice Standards and NDIS Code of Conduct
Employment conditions
- Casual employment

- $38–$42 per hour plus superannuation, depending on experience and applicable award classification
