We are seeking a motivated, professional, empathetic, experienced, collaborative and driven Practice Coordinator who can work onsite in Liverpool and full-time to support our practice administration team.
Duties and responsibilities:
- Leading a small team of administration staff.
- Supporting, training and guiding non-clinical students on placement.
- Maintain the clinic's various digital administration systems.
- Scheduling and managing appointments.
- Answering and returning phone calls.
- Managing emails and responding to inquiries.
- Proofreading, formatting and sending documents to key stakeholders (clients, GPs, schools, etc.)
- Accurately managing Medicare and Insurance billing in a timely fashion.
- Preparing and sending client invoices in a timely fashion.
- Liaising with administrators and clinicians to ensure timely follow up on client and practice matters.
- Ensuring that document storage systems are keep up-to-date and logically organized.
- Supporting new staff/placement students on all administrative procedures.
- Taking minutes during meetings and supporting the logistics around our delivery of group therapy and professional development training.
- Maintaining confidentiality at all times.
- Other administrative and practice support tasks as determined by the Director and/or the Deputy Directors.
The successful applicant will have:
- A tertiary qualification in a relevant discipline.
- At least 1 year of health administration management experience and/or a solid willingness to learn and develop in health administration.
- A strong understanding of mental health and/or previous experience in the mental health sector.
- Punctuality, personal resilience, capacity to work independently and collaboratively, positivity and openness.
- Robust skills in people management and support for a variety of people from all walks of life including clients, students, clinicians, partners and stakeholders.
- High level written and verbal communication skills.
- Keen attention to detail and the ability to ensure standards and procedures are attended to while also being flexible and adaptable.
- Experience working with digital information management systems and high level computer and technical skills (e.g., Google Drive, Gmail/Google services, Microsoft software and programs etc).
- Be a quick learner, have a great memory and collaborative working style.
- Be able to take initiative as well as take feedback and instruction.

Pay: $35.00 – $40.00 per hour
Expected hours: 38.0 per week
