Primary objective
Operational management to the team responsible for providing high level executive support to the Chief Executive Officer (CEO) and
Deputy Chief Executives, including special projects, corporate support, information management, executive officer and executive assistant
services, secretariat services to various agency governance committees, and managing executive correspondence processes.
Key duties and responsibilities
1. Manage the timely delivery of high-quality executive support and corporate services to the CEO and Deputy CEOs, including the day-
to-day administration and information management within the Office of CEO team to ensure accurate and effective services are
provided.
2. Provide high-quality secretariat and coordination services to various agency governance committee meetings.
3. Coordinate the agenda and papers for regularly meetings between the agency and relevant Ministerial Offices.
4. Develop and implement policies, procedures, and internal processes to support the operations of the Office of the CEO and provide
high level advice and guidance to senior management on Government protocols, procedures, and timelines.
5. Build and sustain collaborative relationships and with a variety of stakeholders and liaise effectively and discreetly with all levels of
staff within the department, and with external stakeholders.
6. Prepare, develop, coordinate and process timely and reliable executive correspondence on behalf of the Chief Executive Officer,
ensuring high quality and accuracy of all executive correspondence.
7. Carry out projects, research and analysis of relevant matters and provide other assistance to the CEO and the broader Office of the
CEO team, including preparing the business unit’s contributions to the Annual Report, Business Plans, Strategic Plans and other
associated documents.
8. Foster a positive workplace culture through exemplary practices and role modelling behaviour.
Selection criteria
Essential
1.
Demonstrated experience in managing a team to deliver high-quality secretariat and executive support services in a busy organisational
environment.
2. Highly developed communication and interpersonal skills, including experience preparing written correspondence and reports to a
high standard and ability to collaborate and negotiate effectively with stakeholders.
3. Demonstrated experience in developing and implementing policies, procedures, and internal processes to support the operations of a
team.
4. Demonstrated initiative, proactivity and organisational skills of a high order including an ability to anticipate, work under pressure,
independently and flexibly to complete competing tasks within required timeframes.
5. Demonstrated ability to analyse, provide advice and recommendations on a range of issues including agency emerging issues,
Government protocols, and other business support procedures.
6. Proven ability to maintain confidentiality, act tactfully and exercise discretion and sound judgement in an executive office setting.
7. Proven ability to work effectively to deliver outcomes within tight deadlines, with high standards and attention to detail.
8. Ability to supervise, mentor and develop positive and high performing teams, as well as be part of a team and work cooperatively with
senior management, staff members and peers to achieve the department’s objectives.
Desirable
1. Significant knowledge and understanding of Government and departmental processes including preparing high-level reports,
discussion papers and correspondence including Ministerial and executive briefings.
