Role Description:
The Bookkeeping Implementation Manager is responsible for nurturing new client relationships and leading the successful implementation of bookkeeping services. The role ensures each new client is transitioned to an effective, well-documented and sustainable service-delivery model that supports robust client outcomes.
New client implementation is the primary focus of the role. During periods of reduced onboarding activity, the role will also complete bookkeeping and related client work to support team capacity, service continuity and client commitments.
The role has responsibilities across three domains:
- Clients: Lead client discovery, scope confirmation, process design, implementation, SOP development, training and the controlled transition of day-to-day processing to assigned bookkeepers. Recommend and action process improvements, and review the chart of accounts in the context of meaningful downstream reporting. Manage the client relationship and maintain oversight of the bookkeeping, payroll, authorised lodgement and administrative services delivered by the assigned bookkeepers to ensure agreed outcomes are achieved through the stabilisation period.
- Team: Provide practical direction, training and quality support to bookkeepers during implementation and handover. Promote a inspiring and engaging culture, share knowledge and contribute to business continuity across onshore and offshore bookkeeping resources.
- Firm: Contribute to achieving the Firm's client value proposition, employee value proposition and financial objectives through effective client onboarding, scalable service design, quality delivery and continuous improvement initiatives.
Key Responsibilities:
WITH THE CLIENTS
Client Implementation & Onboarding
- Lead the onboarding and implementation of recent bookkeeping clients.
- Conduct discovery and onboarding meetings with clients.
- Understand client systems, bookkeeping processes, reporting requirements and service expectations.
- Develop implementation plans and onboarding timelines.
- Coordinate the collection of client information, records and system access.
- Coordinate transition of client bookkeeping functions into BridgePoint Group systems and workflows.
- Coordinate accounting software setup and migration activities where required.
- Establish client communication, reporting and workflow requirements.
- Maintain regular communication with clients throughout implementation.
- Manage the client relationship throughout onboarding, implementation, the transition of day-to-day processing and the agreed stabilisation period, acting as the primary point of contact and ensuring expectations,
actions and issues are communicated clearly.
- Identify and escalate implementation risks or issues.
- Complete the controlled transition of day-to-day processing to the assigned bookkeepers, while retaining ownership of the client relationship and oversight of service quality and agreed outcomes through the stabilisation period.
Process Improvements
- Identify opportunities to improve upon ‘inherited’ systems and processes.
- Discuss benefits of recommended improvements with your client.
- Implement approved system and process improvements and incorporate them into the SOPs.
SOP Development, Training & Handover
- Confirm and document the agreed scope of bookkeeping services, responsibilities, service frequencies, reporting requirements, dependencies and exclusions.
- Translate the approved client scope into clear, practical and scalable service-delivery processes.
- Prepare and maintain client-specific standard operating procedures, process maps, checklists, calendars and supporting documentation.
- Ensure SOPs clearly identify each activity, frequency, responsibility, required inputs, system steps, review requirements, due dates and escalation points.
- Confirm that SOPs and service-delivery processes accurately reflect the approved client scope and engagement arrangements.
- Coordinate with the Client Director or Manager to identify appropriate bookkeepers for ongoing service delivery.
- Develop and deliver client-specific training for the bookkeepers responsible for ongoing service delivery, including clear instructions, demonstrations, working examples and supporting documentation.
- Provide functional direction and practical support to bookkeepers throughout implementation and handover.
- Observe and review initial processing completed by bookkeepers during the implementation period and provide practical feedback or additional training where required.
- Confirm that bookkeepers understand the client's processes, systems, deadlines, reporting requirements, controls and escalation protocols before handover.
- Monitor implementation actions and resolve or escalate issues that may affect the quality or timing of handover.
- Complete a structured transition of day-to-day processing once the process is stable, documentation is current and the assigned bookkeepers have demonstrated appropriate capability.
- Retain ownership of the client relationship and oversight of service delivery during the agreed stabilisation period, provide additional support where required and update client SOPs when implementation learnings identify a better or more accurate process.
Service Delivery Oversight & Outcome Management
- Maintain oversight of the bookkeeping service delivered by assigned bookkeepers through the agreed stabilisation period, ensuring work aligns with the approved scope, SOPs, deadlines, reporting requirements and client expectations.
- Identify quality issues, delays, process gaps, scope changes or recurring errors, and coordinate corrective action, guidance or additional training with the assigned bookkeepers and relevant Manager.
- Manage client queries,
expectations and implementation-related issues, ensuring agreed actions are progressed and resolved.
- Escalate client, technical, compliance, capacity or service-quality risks promptly to the Manager or Client Director.
- Remain accountable for the quality of the implementation and transition, while assigned bookkeepers remain responsible for ongoing processing and the Bookkeeping Implementation Manager retains client relationship ownership and outcome oversight through stabilisation.
WITH THE TEAM:
- Provide short-term coverage for priority bookkeeping work during leave, unavailability or peak workloads to maintain service continuity and client commitments.
- Support practical workload reallocation across onshore and offshore bookkeeping resources when capacity constraints or competing priorities arise.
- Collaborate with team members to deliver high-quality work on time.
- Provide functional direction, client-specific training and practical quality support to bookkeepers through implementation, handover and stabilisation.
- Set clear expectations for implementation tasks, follow up agreed actions and escalate recurring capability, conduct or capacity concerns to the relevant people manager.
- Contribute to team discussions that improve how we work together and deliver value.
- Share implementation and systems knowledge, client insights and lessons learned.
- Support scalable onboarding, training and service-delivery processes.
WITH THE FIRM:
- Support the Firm's financial management, including: Meeting individual budgets, timeframes, productivity and recoverability targets.
- Ongoing development of own technical and professional skills through:Participating in training and development activities; Contributing to team meetings.
- Support continuous improvement initiatives across the bookkeeping division.
- Demonstrate BridgePoint Group values in interactions with clients and colleagues.
Qualifications
- Certificate IV in Accounting and Bookkeeping, Diploma of Accounting, degree in Accounting or a comparable qualification preferred.
- Xero Advisor and Xero Payroll certification, or willingness to obtain these certifications promptly.
- Formal project, systems implementation or process improvement training is advantageous.
- At least 3+ years' bookkeeping, accounting support or outsourced finance experience, within an Australian bookkeeping, accounting or professional services environment.
- Demonstrated experience leading the onboarding or transition of multiple clients, including discovery, scope confirmation, data collection, systems setup, workflow design, testing, issue management and handover.
- Demonstrated ability to prepare clear, practical SOPs, process maps, checklists and training materials from client discussions and observed processes.
- Experience training, guiding and reviewing the initial work of bookkeepers or accounting support staff through a structured handover.
- Strong practical knowledge of Australian bookkeeping, GST, BAS, IAS, PAYG withholding, payroll, Single Touch Payroll, superannuation and payroll tax processes.
- Experience working effectively across onshore and offshore teams, including clear documentation, structured handovers and remote collaboration.
- Sound understanding of confidentiality, privacy, data security, internal controls and professional obligations when handling client information.
- Advanced capability across Xero, Microsoft 365, Syft and FYI is desirable.
