About the Team

UTS is recruiting multiple Executive Assistants (2.5) to support senior leaders across faculties and one division in the University. These roles work within collaborative faculty, divisional and university-wide networks, partnering with academic and professional staff to enable effective leadership and smooth day-to-day operations. We are seeking to fill vacancies within the following faculties/division;

- Faculty of Design and Society (1 FTE- full time role);
- Faculty of Business (1 FTE – full-time role); and
- International Division (0.5 FTE - part-time role 17.5 hours per week)

About the Role

As an Executive Assistant, you will provide high-level executive and administrative support to one senior leader or up to three senior leaders within a UTS faculty. You will coordinate complex diaries, communications, meetings, travel, committee activities, events and projects while developing effective working relationships across the University.

Operating in a quick-paced and high-volume environment, you will exercise sound judgement, initiative and discretion to manage competing priorities and ensure accurate, timely support. Multiple positions are available across UTS faculties through this university-wide recruitment campaign.

About You

You are a proactive and highly organised executive support professional who can anticipate priorities, communicate confidently and deliver high-quality work under pressure. You bring sound judgement, discretion and a collaborative approach, with the agility and digital capability to work effectively across a complex organisation.

Role Responsibilities

- Manage complex diaries, meetings and executive workflows, including agendas, papers, minutes, action items, correspondence and follow-up activities.
- Coordinate executive communications, travel, external engagements, committee support, events and projects, liaising with senior internal and external stakeholders.
- Administer approvals, delegations, purchasing, expenses, HR-related processes and records in line with relevant requirements and the authority of the role.




- Improve administrative processes and use technology to streamline workflows, while contributing to a collaborative executive support network and providing back-up support when required.

Skills, attributes and knowledge

- Excellent organisational, time management, analytical and problem-solving skills, with the ability to prioritise competing demands and remain solution-focused under pressure.
- Excellent written and verbal communication skills, with confidence preparing executive correspondence, reports and presentations and engaging with stakeholders at all levels.
- High-level proficiency in Microsoft Office applications and enterprise systems, with the ability to adopt emerging technologies, workflow tools and artificial intelligence applications.
- Demonstrated initiative, sound judgement, diplomacy and discretion, together with a collaborative approach and strong service orientation.

Experience

- Extensive experience providing high-level executive support to senior leaders in a large or complex organisation.
- Demonstrated experience managing complex schedules, meetings, correspondence, travel and competing executive priorities.
- Experience liaising effectively with a broad range of internal and external stakeholders, including senior leaders.
- Relevant degree qualification with subsequent experience, extensive specialist administrative experience, or an equivalent combination of education, training and experience. Experience in the tertiary education sector is highly regarded.

What We Offer

Base Salary Range: $101,262.00 - $109,641.00 (HEW 6) Plus 17% Superannuation (Pension)
