At MIGSO-PCUBED, our mission is to support delivery of our clients’ most important projects and programs. We take pride in delivering world-class project, program and portfolio management expertise and services to clients in every industry. We are specialists in helping businesses to react faster, hit their targets and maximise value within their project environment. In the +30 years that we’ve been in business, we’ve helped some of the world’s largest companies achieve their most complex goals.

We are looking for an experienced and confident Program Coordinator to join our Melbourne Hub and support a complex, enterprise-level program for one of our industry-leading clients.

As a MIGSO-PCUBED Consultant, you will play a key role in supporting the successful delivery of the program by coordinating activities across multiple workstreams, maintaining program governance and ensuring key stakeholders remain aligned to program objectives.

Working closely with Program Managers, Project Managers, workstream leads and senior stakeholders, you will support program-level coordination, reporting, governance, stakeholder engagement and issue management. You will be expected to operate confidently in a quick-paced and highly governed environment, identify emerging issues and ensure they are escalated through the appropriate channels in a timely manner.

Your Responsibilities will include:

- Providing program-level coordination and support across multiple workstreams to help ensure key milestones, deliverables and priorities remain on track.
- Supporting Program Managers and senior program leadership with day-to-day program coordination and delivery activities.
- Preparing and coordinating program-level reporting, governance materials, board packs, presentations and executive updates.
- Coordinating program meetings, governance forums and workshops, including preparing agendas, capturing decisions and actions, and following up on agreed outcomes.
- Supporting the preparation and maintenance of program plans, action registers, RAID logs, governance artefacts and other program documentation.
- Monitoring program activities and workstream progress, identifying emerging risks, issues, dependencies and potential impacts, and escalating these appropriately and in a timely manner.
- Supporting the coordination and onboarding of new team members across the program, ensuring they have the information, access and support required to integrate effectively.

- Coordinating information and inputs across multiple teams and workstreams to ensure program leadership has clear and accurate visibility of progress, issues and priorities.
- Working confidently with senior stakeholders and subject matter experts to obtain information, follow up on actions and drive timely resolution of outstanding items.
- Supporting program governance and ensuring required documentation, reporting and program artefacts are accurate, current and aligned with established standards.
- Assisting with resource coordination, program communications and other operational activities required to support the effective running of the program.
- Proactively identifying issues, gaps or areas requiring attention and raising them through the appropriate escalation channels.
- Contributing to continuous improvement by identifying opportunities to improve program coordination, governance, reporting and delivery processes.

As an MP Consultant, you must deliver expertise, adapt to new environments and industries, and be able to work with both internal and external teams. You will represent the MP brand on client sites and exemplify our core DNA of #TeamSpirit, #Commitment and #Excellence. You will leverage both your expertise in the PPM discipline and a wide breadth of MP material and preparation to successfully support our clients.

WHO ARE YOU?

You have at least a Bachelor's degree in Engineering, Business, Information Technology, Project Management or a related discipline.

You have 5-8 years of experience supporting complex programs and projects, ideally within large, enterprise-level or highly governed organisations. Experience in a Program Coordinator, PMO, Project Coordinator or similar program delivery capacity will be highly regarded.

You have experience supporting complex enterprise programs, coordinating activities across multiple workstreams and working with senior stakeholders. You are comfortable operating in environments where priorities can change quickly and where strong governance, reporting and stakeholder management are critical to successful delivery.

You have strong experience preparing program reporting, executive updates, board packs, governance materials, action registers and RAID logs,

with a strong attention to detail and the ability to bring together information from multiple teams into clear and concise outputs.

You are a confident communicator who can engage effectively with senior and C-level stakeholders, Program Managers, Project Managers, workstream leads and technical teams. You are comfortable following up with senior stakeholders, challenging where appropriate and ensuring actions and issues are addressed rather than simply acting as an order taker.

You are able to identify emerging issues, understand their potential impact and escalate issues through the appropriate channels in a timely manner. You are comfortable managing competing priorities and maintaining composure in high-pressure environments.

Experience working across highly governed and complex environments such as rail, mining, defence, policing, emergency services, government or other large enterprise programs will be highly regarded.

As an MP Consultant, you will have the opportunity to:

- Work across diverse sectors to support a variety of complex projects and programs.
- Deliver within complex client engagements and support MP team leadership with client relationship management.
- Support engagement leads to grow our footprint within client organisations while taking advantage of a diverse range of professional development opportunities.
- Ensure customer satisfaction and contribute to the successful delivery of key client initiatives.
- Develop your consulting capability while working alongside experienced project and program professionals across a broad range of industries.
