About the Role
We are seeking an Administration Officer to support a busy NSW Government team in Surry Hills. You will provide day-to-day administration, manage customer and stakeholder enquiries, maintain records and assist with correspondence and team activities.
- Position: Administration Officer
- Rate: $43/hour + super
- Location: Surry Hills, Sydney
- Working Arrangement: Fully onsite, 5 days per week
- Expected Hours: 8:00 AM to 4:00 PM, 35 hours per week
- Anticipated Duration: ASAP start up to 12 months
Key Responsibilities
- Respond to customer and stakeholder enquiries by phone and email, providing accurate information or referring matters to the appropriate team
- Manage shared inboxes, review incoming requests and ensure enquiries are allocated and actioned promptly
- Provide day-to-day administrative support, including data entry, document preparation, correspondence and general office coordination
- Maintain accurate electronic records and update customer, service provider and stakeholder information across internal systems
- Prepare routine correspondence, meeting papers, agendas and minutes while ensuring documentation is accurate and complete
- Support meetings, team activities, research and small projects as required
- Handle confidential and sensitive customer information with professionalism, discretion and care
- Follow established government policies, procedures and service standards when completing administrative tasks
- Prioritise competing requests in a high-volume environment and escalate complex or sensitive matters when required
- Liaise with internal teams, external service providers and government stakeholders to obtain information and progress enquiries
- Assist with approved financial or transactional administration where required and within delegated procedures
- Contribute to a positive customer experience by providing timely, professional and respectful administrative support
About You
- Previous experience in administration, clerical support, customer service, records management or a similar office-based role.
- Solid written and verbal communication skills with the confidence to engage with a broad range of customers and stakeholders.
- Demonstrated ability to manage telephone and email enquiries professionally, including sensitive or challenging matters.
- Strong data entry skills and excellent attention to detail.
- Competency using Microsoft Office applications, particularly Outlook, Word and Excel.
- Confidence learning new databases, document management systems and government applications.
- Experience maintaining electronic records, preparing correspondence and managing documentation.
- Ability to organise workloads, meet deadlines and manage competing priorities with limited supervision.
- Sound judgement and problem-solving skills within established policies and procedures.
- A professional approach to privacy, confidentiality and sensitive customer information.
- Strong interpersonal skills and the ability to contribute positively within a cooperative team.
- Experience within NSW Government, financial services,
trustee services, legal administration, community services or another regulated environment will be highly regarded.
- Records management, CRM or case management system experience will be advantageous.
- Willingness to undertake two reference checks and a Police Check
- Valid working rights in Australia are mandatory. Sponsorship is not available. Applicants must be Australian citizens, permanent residents or hold a suitable long-term Australian working visa.
