About the Role:
Reporting directly to the Chief Executive Officer (CEO), the Executive Assistant provides high-level executive, administrative, and governance support to the CEO, Executive Leadership Team (ELT), Board, and Board Committees. Acting as a trusted partner, you will ensure seamless operational flow, maintain solid governance practices, and handle confidential executive affairs with exceptional precision.
Key Responsibilities:
- Executive & CEO Support: Manage complex diaries, screen and prioritise communications, prepare meeting briefing packs, and act as a professional liaison for key internal and external stakeholders
- Board & Committee Governance: Coordinate annual Board and Committee calendars, collate and distribute meeting papers, administer the Board portal, attend meetings, and accurately record minutes and action items
- ELT Support: Oversee the annual ELT meeting calendar, assemble agendas and papers, take minutes, and actively monitor action registers to track decision completion
- Travel & Event Coordination: Organise domestic and international executive travel itineraries, along with managing leadership offsites, strategy workshops, and corporate events
- Information & Crisis Management:
Maintain confidential records in line with compliance standards, and serve as a central coordination point during incidents or business continuity situations.
Key Requirements & Experience:
- Experience: Minimum 3 years’ experience as an Executive Assistant, Personal Assistant, or Senior Administrator supporting a CEO, Managing Director, ELT, or Board
- Governance Skills: Demonstrated experience in formal minute-taking, report writing, and supporting Board or executive governance processes
- Technical Proficiency: Advanced skills in Microsoft 365 applications (Outlook, Word, Excel, PowerPoint, Teams, and SharePoint)
- Interpersonal & Personal Attributes: Outstanding organisational ability, high-level discretion, and exemplary written and verbal communication skills.
- Desirables: Tertiary qualifications in Business Administration/Management, or prior experience within the Not-for-Profit, aged care, health, or community sector.
