Project Administration & Documentation: Assist in setting up recent project files, maintaining up-to-date digital documentation, and managing submittals, RFIs (Requests for Information), and contract logs.

Scheduling & Coordination: Help coordinate day-to-day scheduling for painting crews, subcontractors, and material deliveries to ensure seamless site execution.

Material & Equipment Management: Track, order, and expedite painting materials, specialty coatings, equipment rentals, and safety supplies as directed by project managers.

Communication Hub: Act as a key point of contact for internal teams, field crews, suppliers,

Safety & Compliance Tracking: Ensure all crew members comply with company safety protocols, OSHA standards, and site-specific safety regulations, assisting with safety documentation and incident reporting.

Financial & Estimating Support: Assist with processing subcontractor invoices, tracking project expenses, gathering quotes from paint suppliers, and preparing data for change orders or progress billings.

Site Visits & Meetings: Attend project coordination meetings when required, take detailed minutes, and occasionally visit job sites to inspect progress and assist with quality control handovers.

What We Are Looking For (Requirements)

Experience: 0–2 years of experience in project administration, coordination, or estimating—ideally within the construction, subcontracting, or commercial painting industry.

Education: A degree or diploma in Construction Management, Business Administration, Civil Engineering, or a related field (or equivalent practical experience).

Tech-Savvy: Proficiency in Microsoft Office Suite (Excel, Word, Outlook) and a quick learner when it comes to construction management software (e.g., Procore, PlanGrid, Bluebeam).

Communication: Excellent verbal and written communication skills with a professional demeanor when dealing with clients and general contractors.

Organization: Exceptional time-management skills with the ability to multitask, prioritize tasks in a fast-paced environment, and maintain extreme attention to detail.

- Driver's License: A valid driver's license and reliable transportation to visit local commercial job sites as needed
