Dental Receptionist — Experienced

Join a busy, friendly dental practice as our next Dental Receptionist. We're after someone who's confident running a front desk, loves delivering great patient service, and takes pride in keeping a practice running smoothly.

About the role
As our Dental Receptionist, you'll be the first point of contact for our patients — managing appointment scheduling, patient check-in and check-out, phones, billing, and insurance queries, while keeping our front desk organised and welcoming. You'll work closely with our clinical team to keep the day running on time and our patients looked after.

Every patient who calls or walks through our door should feel like they've arrived somewhere that genuinely has them covered — not just "booked in." We want our front desk to feel like a concierge experience: patients greeted warmly by name wherever possible, fully across their appointment and history before they even sit down, questions answered confidently, and every interaction leaving them feeling looked after from the very first hello.

We're looking for three kinds of people for this role:

1. The phone natural — someone who's genuinely excellent on the phone. You handle calls with warmth, clarity, and confidence, manage enquiries and bookings smoothly under pressure, and are always looking to sharpen that skill further.

2. The people person — someone who's just as strong face-to-face, who can read the room, put a nervous patient at ease, and build real rapport rather than just processing a check-in.

3. The relationship builder — someone who understands that a great patient experience earns word-of-mouth, and is confident naturally asking happy, loyal patients for referrals and Google reviews as part of the conversation, without hesitation. When a patient has had a great experience, you know that's the moment to ask.

Strong candidates will bring experience across all three — but what matters most is that you already think this way about patient experience.

We're hiring three people for our reception team. Everyone will be trained across the full front-desk role, but once you're settled in, we'll work with you to find where you shine. For some of you, that'll mean owning the phones and patient queries follow-up actively — if that's genuinely your strength and your preference, tell us in your application, and we'll shape the role around it.

Championing our dentists and clinical team
Our front desk is where patients first meet the practice, and you'll be the person who helps them see why they're in great hands. We need someone who genuinely believes in state-of-the-art dentistry and loves talking about it: the technology we use, the skill and care of our dentists, and the expertise of our clinical team.



You'll introduce patients to the practitioners with confidence, build trust before they ever sit in the chair, and help every patient feel they've chosen the right practice for their oral care.

Just as importantly, you'll help patients make informed decisions without ever steering or pushing them. Treatment choices are personal, and so are the finances behind them. We need someone who presents options clearly and professionally, explains payment and plan options when asked, and never lets their own opinions about cost, or what they would choose themselves, colour the conversation. The patient decides, and your job is to make them feel informed, respected, and supported whatever they choose.

Our service philosophy
Think of the way the best hotels treat their guests — like the Ritz-Carlton standard of "we are professionals serving professionals," where every guest is anticipated, remembered, and made to feel like the most important person in the room. That's the bar we hold our front desk to, and it's what we need you to bring from day one.

- Warm welcome, every time — a patient should never feel like a number on a list. Use their name. Make eye contact. Meet them by walking around the reception desk Make them feel expected and genuinely glad to be there.

- Anticipate, don't just respond — have their file ready, know why they're in, flag anything they might need before they ask.

- Own the moment — if something goes wrong (a delay, a mix-up, a concern), you take ownership and make it right rather than passing it on.

- Every goodbye is a "see you soon" — patients should leave feeling like they're genuinely looked forward to seeing again, not just processed and sent on their way.

This isn't corporate script-reading — it's a genuine standard of care, and we need someone who already operates this way or picks it up fast.

Shifts available

Weekdays (rotating):

- 8:00am – 1:00pm

- 1:00pm – 6:30pm

- 8:00am – 5:00pm

- 9:00am – 6:30pm

Weekends (Saturday & Sunday):

- 8:30am – 4:30pm

Employment type
Full-time or Casual only. Please note we are not able to offer part-time positions for this role.

What we're looking for

- Previous experience as a Dental Receptionist, or equivalent front-desk/admin experience in a healthcare setting

- Confidence using dental practice management software and appointment scheduling systems

- An outstanding phone manner — confident, warm, and accurate taking and making calls, with a genuine attitude to keep improving

- Just as strong communicating with patients in person as on the phone

- Confident asking satisfied patients for Google reviews and referrals so that others can benefit from their experience , without hesitation, as a natural part of delivering a great experience

- A genuine belief in state-of-the-art dentistry and Ritz-Carlton-level service, with the confidence to promote our dentists and clinical team and create an outstanding patient experience

- Professionalism and impartiality around treatment costs: you present options and payment pathways neutrally and never let personal views on price influence a patient's treatment decision. Our mission is to educate the patient to make an informed decision not to sell.

- Experience handling patient billing, insurance queries, and recalls

- A team player willing to follow our practice's uniform and workplace procedures

- Excellent attention to detail and a genuine passion for patient care

- Availability across the shifts listed above
