About the role

As a Medical Receptionist, you will provide an essential administrative and reception service within the Baker Specialist Clinics, supporting clients, clinicians and research staff. You will help ensure that patients and visitors receive a professional, courteous and efficient service and that clinic administration operates effectively. Your contribution supports the Specialist Clinics in delivering clinical services and advancing the broader clinical, research and advocacy aims of the Baker Heart and Diabetes Institute.

The Medical Receptionist is the front line of the Baker Specialist Clinics, providing professional and efficient reception and administrative support to clients, clinicians and research staff. The role coordinates appointments, supports billing and invoicing, manages communications and contributes to the smooth operation of a busy clinical service.

Key responsibilities

- Coordinate appointments for all medical services of the Institute.
- Capture billable services comprehensively, issue invoices promptly and identify and manage outstanding invoices using the electronic medical record.
- Manage reception duties professionally and efficiently, including minimising waiting times, directing visitors clearly and accurately, answering telephone calls promptly and redirecting calls or messages appropriately.
- Process all incoming faxes and emails in a timely and accurate manner.
- Carry out housekeeping and maintain stationery and other consumable supplies as required.
- Attend and contribute to team and Domain meetings.
- Be proactive in the workplace by identifying, creating and implementing improved strategies and procedures.




- Provide training and assistance to other reception staff members when required.
- Maintain client confidentiality and comply with privacy requirements at all times.
- Ensure waiting rooms are clean, tidy and welcoming.

About you

- Experience working in a busy administrative setting that includes reception duties.
- Knowledge of banking and financial systems.
- Excellent time management skills, with the ability to prioritise a range of tasks appropriately.
- At least one to two years' experience working in medical rooms in a busy reception environment.
- Knowledge of the Australian health care system.
- Demonstrates an exceptional and professional personal and telephone manner appropriate for a diverse client population.
- Shows respect and empathy for clients of the Baker Heart and Diabetes Institute.
- Works effectively in a team environment and supports a range of roles within the team.
- Uses Windows based software confidently, including Microsoft Office, Word and Excel.
- Meets deadlines while maintaining close attention to detail and accuracy.
