About the business
Our client is an established Australian manufacturer and distributor of automotive workshop equipment, supplying trade workshops and home enthusiasts across the country. Service is a core part of the business: installation, warranty, repairs and ongoing compliance inspections keep customers coming back long after the sale.
About the role
This is the role that keeps the service side of the business moving. You will be the first call for customers who need an installation booked, a fault looked at or an inspection scheduled, and you will turn each enquiry into a job that is scoped, scheduled, completed and invoiced.
It is a busy desk. The phone and inbox are constant, the schedule changes through the day, and you will be coordinating a Victorian team of field technicians alongside subcontractors across the country. If you like a full day and the satisfaction of clearing it, you will enjoy this. Most customers stay with the business for years, so you will build real relationships rather than handle one-off calls.
The role is also evolving. The business is streamlining its service systems, and you will have a genuine say in how the work gets done as that happens.
What you'll be doing
- Responding to a high volume of service and warranty enquiries by phone and email
- Asking the right questions and gathering photos, videos and fault details to work out the next step: a fix over the phone, parts, or a technician visit
- Scheduling installations,
warranty work, repairs and inspections for the Victorian technicians, and making the most of their time on the road
- Coordinating subcontractors for work across the rest of Australia
- Identifying and organising parts so every job is ready before the technician arrives
- Preparing service quotes, invoicing completed jobs and following through on cost recovery
- Keeping job, warranty and service records accurate, and reporting to management
- Working the pipeline from new enquiry to closed job, and spotting ways to do it better
About you
- Experience in a busy coordination, scheduling or customer service administration role
- Thrives on pace: organised and calm with constant calls, emails and competing priorities
- A clear, friendly communicator who can handle a difficult conversation
- Practical and curious, and confident asking customers the right questions
- Accurate with data entry, quoting and invoicing
- Someone who takes ownership and follows a job through to the end
- Happy working in the office five days a week
A background as an automotive service advisor, in workshop administration, or as a mechanic who has moved off the tools will be well regarded, as will experience scheduling field technicians.
