Geosyntec values hiring experts who are innovative and eager to grow. This Sydney role seeks a motivated Administrator to manage finance administration, project lifecycle, and the office.
Essential Duties & Responsibilities n

- Support the office, project managers and senior management across all Geosyntec offices.
n
- Proposal and project set‑up.
n
- Assist with purchase order set‑up and maintenance, including supplier invoice submissions.
n
- Provide advice on project set‑up, tax requirements, invoicing and revenue.
n
- Oversee accounts payable and receivable.
n
- Revenue analysis and financial performance reviews.
n
- Project revenue analysis for PMs.
n
- Backlog and market sector reporting.
n
- Ad hoc reporting for senior management.
n
- Monthly invoicing cycle and timesheet reporting.
n
- Client purchase order reviews.
n
- Purchase order / expense reconciliation / supplier management.
n
- Inbox management – Geosyntec admin & personal.
n
- Site onboarding – medicals – travel requests – document control.
n
- General office administration.
n
Education and Licensure nn
- Minimum three (3)
years of progressive project administration experience, preferably in a professional services firm.
n
- Bachelor’s degree in accounting, finance, or related field preferred; significant work experience accepted.
n
Skills, Experience & Qualifications nn
- Experience in a professional services firm (engineering preferred).
n
- Experience with multi‑disciplinary project teams.
n
- Finance, accounting, or similar background.
n
- Accounts payable and accounts receivable.
n
- Project administration experience.
n
- Invoicing experience.
n
- Knowledge of Infor system.
n
- Knowledge of JDE, Oracle, SAP, Coupa or other accounting software.
n
- Effective communication skills, verbal and written.
n
- Organisational skills.
n
- Ability to work across multiple time zones and offices.
n
- Proficiency in Microsoft Office (Word, Excel).
