We are now seeking a highly organised and motivated Service Coordinator to join our Administration Team.

About the role n

This is a busy, hands-on coordination role with responsibility for managing our Rinnai account by coordinating hot water system repairs, maintenance and breakdowns.

n

You will coordinate a high volume of service jobs from initial work order through to completion and invoicing, working closely with plumbers, subcontractors, customers and Rinnai to ensure jobs are scheduled and actioned efficiently.

n

The role would suit someone with experience in the plumbing industry, particularly hot water repairs, servicing and breakdowns, who understands the nature of trade-based service work and can confidently coordinate multiple jobs and priorities.

Reporting to the Administration Manager, your responsibilities will include:

- Coordinating hot water system repairs, maintenance and breakdowns
n
- Scheduling plumbers and technicians while managing changing priorities
n
- Monitoring job progress and proactively following up outstanding work
n
- Liaising with Rinnai, customers, plumbers and subcontractors
n
- Responding to work orders,



service requests and customer enquiries
n
- Managing job documentation, close-outs and invoicing
n
- Monitoring and actioning weekly WIP reports
n
- Maintaining accurate job records, spreadsheets and internal systems
n
- Managing incoming calls, emails and shared inboxes
n
- Identifying and resolving issues to keep jobs moving
n

What we’re looking for n

We are looking for someone who has:

n

n
- Previous experience in the plumbing industry, particularly hot water repairs, servicing and breakdowns
n
- A good understanding of plumbing and hot water service work
n
- Experience coordinating or supporting tradespeople in a service environment
n
- Strong organisational skills and excellent attention to detail
n
- The ability to manage a high volume of jobs and competing priorities
n
- Strong communication and customer service skills
n
- A proactive approach to problem solving and follow-up
n
- Confidence dealing with plumbers, customers, clients and subcontractors
n
- Robust computer skills and confidence using Excel and administration systems
n
- The ability to work autonomously while contributing to a busy team
n
- Experience in a plumbing administration, service coordination or scheduling role will be highly regarded, particularly experience coordinating hot water repairs and breakdowns.
