Executive Assistant to CEO / Managing Director & CFO n

The Opportunity n
PERSOL is partnering with a leading ASX-listed technology and life sciences organisation to appoint an experienced Executive Assistant to support the CEO / Managing Director and Chief Financial Officer.
n
This is a senior, high-trust role within a fast-paced and highly confidential executive environment, providing high-level executive, Board and governance support across a complex and growing organisation.
n
Based at the company's Eight Mile Plains Technology Park location, you will play a central role in the effective operation of the CEO's office, working closely with senior executives, Board members and key internal and external stakeholders.
n
This opportunity would suit an accomplished EA who enjoys operating at a senior level, is highly organised and proactive, and brings solid judgement, discretion and attention to detail.
Key Responsibilities Executive Support n
n
- Provide high-level Executive Assistant support to the CEO / Managing Director and CFO
n
- Manage complex and dynamic diaries, meetings, priorities and competing demands
n
- Coordinate Board meetings, investor engagements and executive commitments
n
- Ensure executives are fully briefed with relevant documentation, agendas and pre-reading
n
- Anticipate executive requirements and proactively manage priorities and follow-up actions
n
Board & Governance Support nn
- Prepare and coordinate Board and Committee papers, agendas and minutes
n
- Support governance processes in conjunction with the CFO and Company Secretary
n
- Coordinate Board meeting logistics, documentation and follow-up actions
n
- Assist with ASX-listed company administration and investor relations requirements
n
- Maintain high levels of accuracy and confidentiality across all governance documentation
n
Executive Communication & Documentation nn
- Draft, prepare and refine executive correspondence, reports, briefing notes and presentations
n
- Produce polished,
Board and investor-ready documentation
n
- Coordinate and collate information from multiple stakeholders
n
- Ensure consistency, accuracy and professional presentation across executive materials
n
Travel & Events Coordination nn
- Coordinate complex domestic and international travel, itineraries, visas and logistics
n
- Prepare executive briefing packs and travel documentation
n
- Support investor roadshows, conferences and executive events
n
- Manage changes and last-minute arrangements with minimal disruption
n
Stakeholder Management nn
- Liaise confidently with Board members, executives, investors, regulators and external advisers
n
- Act as a professional and trusted gatekeeper for the CEO's office
n
- Build and maintain strong relationships with senior stakeholders
n
- Represent the executive office with professionalism and discretion
n
General Executive Support nn
- Manage expenses, invoices and reconciliations
n
- Assist with ad hoc executive projects and initiatives
n
- Provide support to the broader executive team as required
n
- Take ownership of tasks and follow through to completion
n
About You n
We are looking for an experienced Executive Assistant who is confident operating in a senior corporate environment and understands the level of discretion, judgement and professionalism required when supporting C-suite executives.
n
You will ideally bring:
n
n
- Previous experience supporting C-suite executives, senior partners or equivalent leadership roles
n
- Exposure to Board and governance processes
n
- Experience within an ASX-listed, corporate, professional services, Big 4, legal, mining, energy or similar environment
n
- Advanced Microsoft Office / Microsoft 365 capability, including Word, PowerPoint,
Outlook, Teams and Excel
n
- Excellent written communication and document preparation skills
n
- Strong discretion and the ability to manage highly confidential information
n
- Exceptional organisation and attention to detail
n
- Proven ability to manage competing priorities and shifting deadlines
n
- Experience coordinating complex domestic and international travel
n
- Confidence engaging with senior executives, Board members and external stakeholders
n
- Exposure to investor relations or corporate communications will be highly regarded
n
