Job Description
n
We’re looking for an enthusiastic and highly organised Administration Assistant to join our Melbourne team.
n
If you enjoy keeping things organised, helping people and being the person others can rely on to get things done, this is an exciting prospect to build your career in a varied and hands-on administration role.
n
About Us
n
Prime Creative Media is Australia’s largest B2B Publisher, specialising in integrated marketing communications in high-growth industries. Through our leading publications, events and digital platforms, we connect businesses, professionals and communities to support our purpose of growing individuals, organisations and industries.

n
About the Role
n
This is a very hands-on administration role where you’ll support a wide range of activities across the business.
n
No two days will look exactly the same. You might be preparing reports, organising meetings, updating internal documentation or supporting our executive team one moment, and then screening a candidate, conducting a reference check or welcoming someone for an interview the next.
n
The role is heavily administration-focused, so you’ll need to enjoy working with detail, data, documentation and competing priorities. You’ll also have the opportunity to gain exposure to recruitment, onboarding, training and other people-focused activities as part of your day-to-day work.
n
In this role, you will:
n
n
- Provide administrative support to the CEO and members of the Executive Management team as required.
n
- Manage diaries, coordinate internal meetings and assist with scheduling.
n
- Support the organisation and coordination of onboarding and training for new team members.
n
- Maintain, review and update internal documentation.
n
- Prepare reports, including Excel-based reporting, data analysis and administrative summaries.
n
- Assist with drafting, reviewing and updating company policies and internal documents.
n
- Monitor and respond to emails from team members and external contacts.
n
- Assist with office management and general administrative requirements.
n
- Support recruitment activities, including reviewing and screening applications.
n
- Conduct initial candidate screening where required.
n
- Welcome candidates to our office and provide office tours.
n
- Conduct reference checks and assist with other recruitment administration.
n
- Coordinate interviews and other candidate-related activities.
n
- Maintain accurate and confidential records.
n
- Assist with other administrative tasks as required.
n
n
About You
n
You’re someone who enjoys being organised, takes pride in getting the details right and is happy to turn your hand to whatever needs doing.
n
You don’t need to have done every part of the role before. What matters most is that you’re proactive, reliable, comfortable learning and genuinely interested in developing a broad range of skills.
n
You will ideally be:
n
n
- Highly organised with excellent time management skills.
n
- Meticulous in your attention to detail and focused on accuracy.
n
- A strong written and verbal communicator.
n
- Confident dealing professionally with team members, candidates, managers and external contacts.
n
- Comfortable managing multiple tasks and changing priorities.
n
- Proficient in Microsoft Excel, including formulas, data manipulation and spreadsheet management.
n
- Comfortable preparing reports and working with data.
n
- Able to handle sensitive and confidential information with discretion.
n
- Proactive and willing to take ownership of tasks through to completion.
n
- Positive, helpful and willing to get involved wherever needed.
n
- Comfortable speaking with candidates and conducting basic screening conversations.
n
- Curious and excited to learn new systems, processes and skills.
n
- Aligned with our values of Growth, Accountability, Humility and Generosity.
n
n
Why Work With Us?
n
At Prime Creative Media, we provide clear expectations, practical support and meaningful opportunities to build your skills and career.
n
You’ll benefit from:
n
n
- Comprehensive induction, training and ongoing development.
n
- Support from experienced team members and managers.
n
- Opportunities to build your skills across administration, recruitment, onboarding and business operations.
n
- Exposure to senior leaders and different areas of the organisation.
n
- A varied role where you can build a broad range of professional skills.
n
- Genuine career progression opportunities within a growing global media business.
n
- A supportive and high-performing environment.
n
- A modern, award-winning Docklands office with access to facilities including a gym, pool, spa and rooftop area.
n
n
Ready to Build Your Career?
n
If you’re organised, detail-oriented, enjoy helping people and want a role where you can learn, contribute and get involved across a wide range of activities, we’d love to hear from you.
