As Office Manager, you'll be responsible for overseeing the day-to-day operations of the studio, with a solid focus on financial administration, project setup and studio coordination. This is a key leadership role within the practice, suited to someone who enjoys being across financial processes, systems and people, and who takes pride in keeping a professional studio running efficiently behind the scenes. You’ll work closely with the Director and Associates and play an important role in supporting both the business and the team.
This is a full-time position, with consideration for part-time or hybrid arrangements for the right person with strong experience.
Key responsibilities
- Managing practice finances, including accounts payable and receivable, invoicing and payment processing
- Maintaining accurate financial, project and reporting records across internal systems
- Preparing detailed fee proposals and setting up new projects
- Tracking project budgets, cashflow and fee progress in collaboration with the Director
- Managing shared admin email accounts and coordinating responses
- Coordinating staff attendance and leave records
- Maintaining and improving spreadsheets, workflows and internal systems
- Providing general operational and administrative support to the studio
About you
- Experience as a Practice Manager, Office Manager or in a senior administrative role
- Strong financial administration experience, including accounts payable and receivable
- High-level attention to detail and accuracy
- Confidence using accounting software and Excel
- Strong organisational and time-management skills
- Clear, professional communication skills
- A proactive, reliable and approachable manner
- Experience in architecture, construction, engineering or professional services is highly regarded, but we're also open to candidates with a strong foundation and the ability to learn quickly
