Perth Children's Hospital Foundation exists to make a life-changing difference for the children of WA. We're looking for a highly organised and proactive Executive Assistant to support our CEO and Board on a 12 month maximum-term parental leave contract.

You'll keep the executive office running smoothly, managing the CEO's diary and correspondence, coordinating meetings, and delivering high-quality secretariat support to the Board and its Committees. As a professional first point of contact for internal and external stakeholders, you'll play a key part in the effectiveness of our leadership team.

Responsibilities:

Executive support

- Manage the CEO's diary, scheduling appointments and coordinating meetings
- Prepare, format and proofread correspondence, emails and documents for the CEO's review
- Act as a point of contact for internal and external stakeholders, responding to and directing enquiries as appropriate
- Coordinate travel, expenses and other administrative arrangements for the CEO
- Maintain accurate digital and hard copy filing systems and records
- Ad-hoc responsibilities and projects as directed by the CEO

Board support

- Work with the CEO and CFO/Company Secretary to prepare and distribute high quality, timely Board and Committee agendas, papers and packs
- Coordinate and attend Board and Committee meetings, recording minutes and preparing them for review and approval
- Maintain a register of action items and follow-ups
- Manage the Board portal so all information, correspondence and schedules are accurate and up to date

What you'll bring:





- Proven experience as an Executive Assistant or in a similar senior administrative role, ideally within the not-for-profit sector
- Experience providing Board or Committee secretariat support, including minute taking
- Robust organisational skills, with the ability to prioritise and manage multiple deadlines
- Excellent written communication skills and a sharp eye for detail
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with Board portal software is an advantage
- A high level of discretion and the ability to handle confidential information
- A proactive, collaborative approach and the confidence to work independently
