The Role
The purpose of this role is to provide technical and leadership support to Projects & Shutdown Execution team. This team collaborates with all functional departments across the refinery including Maintenance and Operations functions in the following key areas:
• Technical and HSE Assurance and Compliance
• Shutdown and Contractor Management and Vendor Support
• Coordinate the schedule, budget and identify and communicate issues and risks when identified.
• Ensures records and test results are maintained and accessible
This is a Permanent, Full-time position, Mon-Fri, based at our Kwinana Refinery.
Key Responsibilities
Co Ordination & Planning
• Coordinate daily activities, schedules and workflows
• Supporting the planning and execution of projects or operational tasks.
• Monitor progress and follow up on outstanding actions.
• Coordinates procurement and resource allocation.
Communication
• Act as a central point of contact between departments, teams, stakeholders and clients.
• Prepare and distribute communications, reports and updates.
• Facilitate meetings, including scheduling, agendas and minutes.
Administrative Support
• Maintain accurate documentation, records and filing systems
• Assist with data entry, reporting and data base management.
• Manage logistics, correspondence and calendars.
• Collate all records, test results, drawings, manuals and statutory documentation and store accordingly to Covalent standards and procedures.
Stakeholder Engagement
• Build maintain strong relationships with internal and external stakeholders.
• Responds to enquiries in a professional and timely manner.
• Support customer client service delivery where required.
• Supports the Project Execution team managing expectations and resolving issues.
Process Improvement
• Identifies opportunities to improve workflows and efficiencies.
• Assists in the development and implementation of procedures and systems.
• Ensures compliance with organisational policies and standards.
• Where applicable ensures all approvals are in place before execution of improvements. (MOC's, Single Source Justification, EA's, etc)
Role Requirements
• 8+ years in maintenance and processing environments, including at least 3 years in a Supervisory and/or Leadership role.
• Plant Commissioning and Operational Readiness experience highly desirable.
• Previous shutdown and maintenance / process plant experience in mining/processing environments.
• Experience with Vendor/Contractor management, repair, and warranty processes.
• Previous Section 44 Statutory Appointment and knowledge of legislative requirements, statutory and regulatory codes desirable.
• Trade background.
• Experienced in SAP Hana
• Exposure to Management of Change
• Microsoft Planning
• Frontline Management or equivalent Leadership training desirable but not essential.
• Valid driver's licence.
• Contract management exposure in the past 5 years including scope writing and review.
