About the role
We are seeking an experienced and organised Office Manager to join FUSE Architecture on a full-time basis at our Redfern, NSW office. As Office Manager, you will be the backbone of our architectural practice, ensuring smooth day-to-day operations and creating an efficient, welcoming workplace for our team and clients. This role is pivotal in supporting the success of our practice by managing administrative functions, coordinating operations, and fostering a positive workplace culture.
What you'll be doing
- Managing all general administrative operations and procedures to ensure the office runs smoothly and efficiently
- Coordinating office facilities, maintenance, and vendor relationships to maintain a professional workspace
- Scheduling meetings, managing calendars, and organising events for staff and client engagement
- Handling financial administration tasks, including invoicing, expense management, and budget tracking
- Managing office supplies, equipment, and IT systems support to ensure staff productivity
- Providing reception and administrative support, managing inquiries and client communications
- Maintaining confidential records and ensuring compliance with data protection protocols
- Coordinating human resources functions, including leave management, induction of new staff, and employee support
- Liaising with external service providers, including accountants, cleaners, IT support, and facilities management
- Supporting project teams with administrative requirements and documentation as needed
What we're looking for
- Proven experience working as an Office Manager or in a similar administrative leadership role, ideally within a professional services environment or architectural practice
- Strong organisational skills with the ability to manage multiple priorities and meet deadlines
- Excellent communication and interpersonal skills, with the ability to liaise effectively with all levels of staff and external contacts
- Proficiency in Microsoft Office Suite and experience with relevant office management software and systems
- Sound financial and administrative knowledge, including invoicing, budgeting, and expense management
- Discretion and ability to handle confidential information with professionalism
- Problem-solving mindset with a proactive approach to identifying and resolving operational issues
- Experience in human resources support and employee coordination is desirable
- A proactive, can-do attitude with a strong focus on achieving outcomes
- Familiarity with architectural practice operations or professional services firms is an advantage
