Our client is a well-established specialist practice in Greenslopes, providing high-quality, patient-focused care within a busy and respected clinical environment. The practice is led by a highly experienced specialist and supported by an experienced Practice Manager with a strong focus on delivering an efficient, professional and compassionate service to every patient.
We are seeking an experienced and highly capable Medical Secretary/Receptionist to join this busy solo specialist on a permanent part time basis. This is an excellent opportunity for a mature‑minded, reliable and organised medical administrator who takes pride in their work and is looking to become a trusted and valued member of a small, professional team.Working closely with the Practice Manager on a day‑to‑day basis, you will play an important role in ensuring the smooth and efficient running of the clinic. We are looking for someone with outstanding organisational and navigation skills, excellent attention to detail and the confidence to manage competing priorities in a busy practice.
You will need to be a genuine team player who communicates well, uses initiative and can work independently while maintaining a close and collaborative relationship with the Practice Manager.
The successful candidate will be offered a roster across Monday to Friday with flexibility:
- Monday: 8:00am – 4:00pm
- Tuesday: 8:00am – 2:00pm
- Wednesday: 8:00am – 4:00pm or 9:00am – 5:00pm
- Thursday: 8:00am – 4:00pm or 9:00am – 5:00pm
- Friday: 8:00am – 2:00pm
Key duties will include (but not be limited to):
- Managing incoming telephone calls and patient enquiries with professionalism, empathy and efficiency.
- Preparing and coordinating daily patient clinics, ensuring smooth patient flow, timely appointments and accurate documentation.
- Scheduling, rescheduling and confirming appointments, while maintaining accurate and up-to-date patient records using Gentu.
- Processing consultation and in‑room procedure billing and receipting, including health fund claims and follow‑up/reconciliation of outstanding accounts.
- Managing patient registrations and maintaining accurate, confidential and compliant patient records.
- Collecting and processing patient information, including medical histories, questionnaires and relevant clinical documentation.
- Triage and management of incoming referrals, liaising closely with the Specialist, Practice Manager, Registered Nurse and other clinicians to coordinate appointments and diagnostic investigations.
- Reviewing, processing and distributing medical correspondence via Medical‑Objects.
- Assisting with basic cardiac investigations, including ECGs, Holter monitoring, ABPMs and HeartBug monitoring, including patient preparation, support and providing clear instructions.
- Uploading, preparing and ensuring diagnostic test reports and relevant documentation are available for Specialist review.
- Monitoring consumable stock levels and assisting with ordering and maintaining appropriate stock supplies.
To ensure your success you will have:
- Previous experience in a medical administration or secretarial role within a private specialist practice.
- Strong IT skills and confidence learning and navigating practice management systems, with experience using Gentu highly regarded – not essential
- Excellent organisational and time management skills, with the ability to prioritise competing demands and keep the clinic running efficiently.
- Exceptional attention to detail and strong navigation and problem‑solving skills, with the ability to confidently find information, follow processes and manage tasks through to completion.
- The ability to multitask effectively and remain calm, organised and professional in a busy clinical environment.
- A genuine patient‑focused approach, with a warm, respectful and compassionate manner.
- Excellent verbal and written communication skills, with confidence communicating professionally with patients, clinicians, health funds and other stakeholders.
- A high level of integrity, discretion and confidentiality, with an understanding of the importance of handling sensitive patient information appropriately.
- A reliable, punctual and committed approach, with a strong sense of accountability and ownership.
- High personal and professional standards, a strong work ethic and a genuine commitment to contributing to the smooth day‑to‑day operation of the practice.

Remuneration:
A competitive hourly rate of $38 - $42 per hour plus superannuation will be offered to the successful candidate, commensurate with skills and experience.
