We're looking for an experienced, practical administrator to become a key part of our small team and take ownership of the day-to-day office administration at Oldfields Scaffolding. You'll work closely with management and operations across customer enquiries, job bookings, invoicing, training, compliance and general branch administration.

Key responsibilities

Answering phones, responding to customer enquiries and following up requests.

Booking void protection jobs and coordinating details with customers and operations.

Supporting scheduling, deliveries and logistics, and communicating changes.

Preparing and processing quotations, orders and associated paperwork.

Preparing and processing invoices and checking details against job and hire records.

Maintaining hire contracts and processing variations.

Supporting accounts receivable, including outstanding payments and invoice queries.

Assisting with end-of-month administration, purchase orders, purchasing and stock records.

Maintaining customer and contractor compliance portals and following up requirements.

Coordinating site inductions and booking scaffolding courses, first aid and other staff training.

About you

Strong administration experience, including invoicing and accounts support.

A friendly, professional phone manner and clear communication.

Strong organisation, accuracy and attention to detail.

Confidence working independently and using good judgement.

The ability to learn systems quickly and work across multiple online portals.

Curiosity about technology and how tools such as AI can improve everyday administration.

A practical, helpful approach.

Reliable follow-through and a willingness to take ownership.

Experience in construction, scaffolding, equipment hire,



logistics or a similar business will be highly regarded.

Familiarity with Xero, Employment Hero and Excel would be advantageous, along with experience in compliance administration and return-to-work coordination.
