Project Administrator:
The Role:
Supporting project managers and multidisciplinary teams through project coordination and administrative support, ensuring project activities, documentation, stakeholder communications, and operational requirements are managed efficiently to facilitate the successful and timely delivery of project milestones.
Key Responsibilities:
- Provide high-quality administrative and project coordination support to Project Managers and multidisciplinary teams to facilitate the successful delivery of project milestones.
- Coordinate project meetings, including scheduling, agenda preparation, minute taking, and action tracking.
- Manage project-related travel, expense processing, purchase orders, and day-to-day project communications.
- Act as a key point of contact for administrative enquiries, maintaining positive relationships with clients, subcontractors, and stakeholders.
- Prepare, format, proofread, and distribute project documentation, reports, presentations, and correspondence to a high standard.
- Support document control processes, ensuring project records are maintained accurately and in accordance with company procedures.
- Assist with onboarding new employees and coordinating office and project site administrative requirements.
- Organise meeting rooms, catering, refreshments, and general office support activities for project teams.
- Coordinate team events, social functions, and stakeholder meetings as required.
- Maintain a skilled, organised, and efficient project office environment.
- Ensure compliance with company policies, safety, quality, environmental, and confidentiality requirements.
- Undertake additional administrative and project support duties as required.
About You:
You are a highly organised and proactive professional with exceptional attention to detail and the ability to manage multiple priorities in a fast-paced project environment. You possess strong communication and stakeholder management skills, enabling you to build effective working relationships across all levels of an organisation. Confident in juggling competing demands, you take pride in delivering accurate, high-quality work while supporting project teams to achieve successful outcomes.
Essential Skills & Experience:
- Minimum 3 years' experience in a Project Administrator or similar project support role.
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, Outlook, and Teams.
- Previous Document Control experience is advantageous.
- Strong organisational and time management skills with exceptional attention to detail.
- Ability to manage multiple priorities and work effectively in a fast-paced project environment.
- Excellent written and verbal communication skills.
- Strong stakeholder engagement and relationship-building capabilities.
- Proactive, collaborative, and adaptable approach to supporting project teams.
