We are seeking an organised and customer-focused Office Administrator & Scheduler to join our team. This is a fast-paced role that will suit someone who thrives on juggling multiple priorities, enjoys building strong client relationships, and takes pride in keeping operations running smoothly.
As the first point of contact for our business, you will play a key role in delivering exceptional service to property managers, domestic clients, tradespeople and subcontractors. Working closely with the Director, you'll be responsible for coordinating daily operations, scheduling works and ensuring jobs are completed efficiently and professionally.
Key Responsibilities
- Manage incoming work orders and coordinate service requests.
- Schedule and allocate work to trades and subcontractors.
- Liaise with property managers, clients and tradespeople to ensure effective communication.
- Process compliance documentation, certificates and associated administration.
- Monitor job progress and resolve scheduling issues as they arise.
- Prepare reports and provide administrative support to assist business performance.
About You
- Previous experience in a scheduling, service coordination or administration role.
- Experience within a trade services, maintenance or construction environment highly regarded.
- Excellent communication and customer service skills.
- Strong organisational skills with the ability to manage competing priorities.
- Proactive, solutions-focused and confident making decisions.
- High attention to detail and commitment to delivering quality outcomes.
- Strong computer skills, including Microsoft Office. Experience with Xero, AroFlo or similar job management software will be highly regarded.
