As a Full Time, Intake & Engagement Coordinator, you will:
Be responsible for overseeing the intake and administration functions within the Good Sammys Employment Services team, ensuring efficient and accurate participant intake, service agreements, scheduling processes, and compliance with NDIS regulations and Positive Sammy policies.
Assistscheduling tasks such as managing staff absences and arranging cover for planned and unplanned leave.
Ensureall participant administration processes are completed accurately, including maintaining records, processing intakes, and upholding confidentiality standards.
Handleenquiries and working collaboratively with internal stakeholders to enhance service efficiency and continuous improvemen t.
Job Description
What you will do:
Respond to all enquiries within 2 business days of Good Sammy's being contacted.
Gather all relevant participant information to ensure appropriate support is provided.
Set up new participants in the relevant databases, ensuring all documentation is received and correctly uploaded.
Book and conduct Initial Intake appointments
Send Service Agreements and Schedule of Supports to participants and/or families, monitor responses, and follow up as required.
Liaise with the Employment Development Manager in the allocation of participants to Employment Development Consultants
Schedule appropriate activities and supports
Ensure shifts align with participant's Services of Support and adjust schedules as necessary
Maintain accurate and timely record-keeping, ensuring all participant records adhere to confidentiality and data security requirements.
Handle sensitive information with discretion, ensuring compliance with privacy policies and regulations.
Represent Good Sammy at networking events and expos to promote our services.
Follow up on billing issues and elevate concerns with relevant parties when applicable.
Collaborate to ensure invoices are paid according to the terms and conditions of support services.
Update Service Agreements and Schedule of Supports following Pricing Reviews or other changes, using information provided.
Addressing staff concerns proactively and escalating issues to the Employment Development Manager when necessary.
Ensure team KPIs and program deliverables are consistently met in alignment with the organisation's Strategic Plan and Operational Plan.
Ensure all administrative processes and documentation comply with the NDIS Quality and Safeguarding Framework, NDIS Practice Standards, and Good Sammy policies to support high standards of compliance.
Proactively seek feedback from participants and their support networks, addressing concerns and resolving complaints promptly to enhance service quality and participant satisfaction.
Process participant exits by updating Good Sammy's CRM and informing relevant internal and external stakeholders.
Desired Skills and Experience
What you will bring:
Certificate III or IV, Diploma, or Degree in a relevant field (e.g., Business, Leadership and Management, Disability, Community Services), or at least two (2) years' experience in the disability sector.
Demonstrated experience in administration, with the ability to drive accountability and performance.
Strong working knowledge and proven experience with databases, software, and the MS Office suite, along with the ability to quickly adapt to new IT systems and technologies.
Demonstrated experience working with processes, including billing procedures.
Current Western Australian C class driving license and a comprehensively insured vehicle.
Current Working with Children Check or proof of application being lodged (receipt).
