In-House Executive Administration Manager
An exceptional opportunity has opened for a Senior Executive Assistant to step into an Executive Administration Manager position within an established and growing organisation.
Reporting directly to the Chief Operating Officer, you'll be a trusted right hand, building on your experience while taking on greater scope across administration, reporting and operational coordination.
If you anticipate needs before they're spoken and bring precision, discretion and confidence to everything you do, this role will place you close to key priorities and decision-making across the organisation.
The Role
Key responsibilities include, but are not limited to:
Managing executive diaries, correspondence and key priorities
Coordinating executive and other key meetings, including agendas, papers, minutes and follow-up actions
Preparing polished reports, presentations, documentation and communications
Coordinating administrative deadlines and deliverables
Preparing, collating and submitting operational data and information to relevant external bodies
Managing recurring reporting and administrative requirements
Maintaining organised and effective filing, document management and administrative systems
Designing templates, refining workflows and improving administrative processes
Leveraging advanced Excel and documentation skills to deliver clarity and insight
Coordinating information and requirements across internal teams and external service providers
Ensuring key updates and actions are communicated and followed through
Providing practical administrative support across the organisation as required

This role will suit someone who is highly organised, proactive and enjoys working collaboratively with others. Strong attention to detail, communication and follow-through will be particularly important, together with the ability to identify priorities and keep the COO appropriately informed.
About You
To be considered, you will have:
Minimum 5+ years' experience as an Executive Assistant
A background gained within
legal, Big 4 or large corporate environments
Strong experience supporting senior executives
Advanced Microsoft Office skills, particularly Excel
Exceptional attention to detail and document control capabilities
Robust written communication and document preparation skills
Confidence engaging with senior stakeholders
Sound judgement and discretion
A proactive and collaborative approach with the ability to work autonomously.

Note: This is a permanent full-time, on-site position, with standard business hours of Monday to Friday, 9.00am-5.00pm. Flexibility around start and finish times is available, subject to operational needs and agreement with the COO.
