We are seeking a highly organised International Sourcing Administrator to provide responsive administrative, customer service and systems support across our international recruitment and workforce mobility programs. Reporting to the Group International Sourcing Manager, you will support the International Sourcing team with documentation, data management, compliance, onboarding and mobilisation activities.
This role is well suited to someone who enjoys detailed work, thrives in a fast-paced environment, manages competing priorities confidently and takes pride in delivering accurate, timely outcomes.
Key responsibilities:
Support the preparation and coordination of documentation across international sourcing, recruitment, compliance and mobilisation processes
Maintain accurate and accessible worker files, compliance records, master trackers, datasets and reporting tools
Assist in monitoring recruitment documentation and follow up outstanding or incomplete information
Contribute to the preparation, review and distribution of employment related documents, employment documents, agreements, letters and onboarding materials
Provide administrative support for visa-related processes,



including tracking and submitting required documentation
Assist with accommodation documentation, property information, lease details and onboarding updates
Collate and share information with teams supporting compliance, onboarding, payroll, insurance, travel and site operations
Assist with practical arrangements for worker mobilisation and demobilisation, including information packs and administrative checks
Support invoice reviews, compliance checks, internal and external audits and other monitoring activities
Maintain accurate information in the PALMIS recruitment portal to support reporting obligations
Identify opportunities to improve administrative workflows, systems, documentation standards and stakeholder experience
Provide flexible administrative support to the International Sourcing team during peak workload periods
About you
You are a reliable and detail-focused administrator who works well in a fast-paced environment. You can coordinate several workflows at once, communicate clearly with a diverse range of stakeholders and maintain accuracy when managing sensitive records and time-critical tasks.
You will bring:
Previous high-volume administration or coordination experience in an agency, internal recruitment team or government department
Strong attention to detail, time management and organisational skills
Confidence managing documentation, records,



trackers and follow-up actions
High-level customer service and transparent written and verbal communication skills
Well-developed Microsoft 365 skills, particularly Excel, and experience using applicant tracking systems
The ability to manage competing priorities and respond effectively in time-sensitive situations
Project coordination capability and strong interpersonal skills
A Certificate, Diploma or Bachelor Degree in Human Resources or a related field will be highly regarded
Experience supporting international labour initiatives or the PALM scheme will be highly regarded
