Job Summary
The Purchasing Officer plays a critical role in ensuring the smooth and productive operation of the Purchasing Department. This position is responsible for managing procurement activities, maintaining optimal stock levels for fast-moving items, monitoring backorders, and supporting cross-functional collaboration to meet internal and external customer expectations. The ideal candidate will combine strong organizational and analytical skills with excellent communication and problem-solving abilities.
Reporting Relationships
Reports to: General Manager / Managing Director
Collaborates with: Office Team, Warehouse Staff, Technical Department, Project Managers (PM), and Procurement Specialists (PS)
Qualifications and Experience
Experience in purchasing, supply chain, or procurement management
Proven track record in managing supplier relationships and procurement processes
Proficiency in ERP systems (e.g., SAP, Oracle, or similar)
Strong analytical and negotiation skills
Excellent interpersonal, verbal, and written communication skills
Attention to detail and ability to manage multiple priorities in a fast-paced environment
Key Responsibilities
4.1 Purchasing & Stores
Process purchase orders to suppliers, including prompt orders and scheduled stock replenishment
Monitor and analyze stock usage patterns to maintain optimal inventory levels




Coordinate return of defective goods to suppliers for warranty repair or replacement
Manage internal stock transfers and adjustments, including demonstration (DEMO) stock
4.2 Administration & Company Technical Support
Receive, subcontract, and dispatch repair items via the warehouse
Generate purchase orders for technical repairs under warranty
Prepare and distribute quarterly stock reports to Project Managers and Procurement Specialists
4.3 Product Sourcing
Identify and qualify second-source suppliers to mitigate supply chain risks
Negotiate pricing and terms to reduce overall cost of goods while maintaining quality standards
4.4 Freight Forwarders & Logistics Coordination
Solicit and compare quotes from freight forwarders for international and domestic shipments (air and sea)
Coordinate timely and cost-effective logistics arrangements for incoming and outgoing shipments
4.5 Occupational Health and Safety
Maintain a safe and healthy work environment in accordance with OHS regulations
Identify and report potential hazards; participate in risk mitigation initiatives
Ensure full compliance with Ecomed Trading's OHS policies, procedures, and guidelines
4.6 Communication & Collaboration
Maintain clear, consistent, and professional communication with internal stakeholders
Facilitate information sharing across departments to support operational efficiency
4.7 Code of Ethics
Adhere to the highest standards of integrity and professionalism as outlined in Ecomed Trading's Code of Ethics
Ensure all procurement activities comply with legal, regulatory, and company standards
