Shore Lawyers is seeking a Senior Paralegal / Office Manager to join their team!
This is a rare opportunity for an experienced career paralegal to step into a senior, long-term support role at the heart of a busy litigation practice. What you'll be doing?
- Managing key relationships: Liaising professionally with clients, barristers, experts, courts, registries, government bodies, agents and other solicitors on administrative and procedural matters.
- Keeping matters on track: Monitoring matter deadlines, appointments and outstanding information, and proactively reminding the responsible solicitor and management team of upcoming requirements.
- Supporting client onboarding and billing: Maintaining the list of open matters, facilitating archiving, checking proper client onboarding, and overseeing correct timesheet completion, billing preparation and time-entry follow-up Role Description.docx.
- Owning day-to-day office operations: Taking practical ownership of the office's daily organisation and acting as the first point of coordination for routine operational matters.
- Coordinating office essentials: Overseeing reception coverage, incoming calls, meeting rooms, mail, couriers, stationery, supplies and general office presentation.
- Maintaining key systems: Keeping office calendars, recurring task lists, key registers, supplier contacts and operational checklists up to date and reliable.
- Coordinating staff logistics: Managing staff access, equipment, workstations, telephones, keys, passes and onboarding logistics.
- Providing senior paralegal support: Delivering paralegal support across the firm under solicitor supervision, with work allocated according to experience and practice-area needs, including arranging firm templates and precedents with the help of junior staff Role Description.docx.
- Supporting the Principal directly: Providing high-level administrative support to the Principal and Practice Director, including diary coordination, meeting arrangements, priorities and follow-up, along with preparing agendas,
action lists and meeting notes where requested Role Description.docx.
- Tracking actions through to completion: Tracking management decisions and delegated actions, following up outstanding administrative tasks, and providing management with clear status updates Role Description.docx.
- Liaising with suppliers: Acting as the main point of contact for building management, cleaners, IT providers, telecommunications providers and other suppliers.
- Driving continuous improvement: Identifying recurring inefficiencies and suggesting practical improvements to office processes, templates, checklists and standard operating procedures for repeatable administrative and paralegal tasks Role Description.docx.
- Supporting recruitment and training: Assisting with recruitment administration, interview scheduling, onboarding and induction logistics, as well as coordinating training, team meetings, staff events and recurring professional or business requirements.
- Embracing new technology: Supporting the implementation of approved AI-enabled and LegalTech tools for administrative and paralegal workflows, and identifying opportunities to automate or simplify repetitive work while maintaining confidentiality and quality controls, subject to firm policy and solicitor oversight Role Description.docx.
- Handling sensitive matters with discretion: Managing confidential and sensitive information with sound judgement, and escalating potential confidentiality, privacy, cyber-security, trust-account, AML/CTF, professional-conduct or client-risk issues immediately to the appropriate lawyer or manager Role Description.docx.
Who are we looking for?
- Relevant experience: Substantial experience as a paralegal, senior legal assistant, law clerk or legal practice support professional is required, ideally with a minimum of 2 years in a similar role Role Description.docx.
