About the role

The Outpost Inc. is a food relief charity dedicated to serving the Geelong community - delivering more than a meal to those who are experiencing homelessness and food insecurity.

We are seeking a highly organised, task oriented, community minded, self-starter, ready to roll up their sleeves in this very active and diverse role (25-30 hours) – part hospitality, part coordination and engagement. The person will balance the requirements of our daily food service routines, rostering, food operations, volunteers and represent our charity.

Picture a café staffed by volunteers – The Engagement & Operations Lead is a key employee, and you will play a central and pivotal role in the operations of The Outpost. The right candidate will coordinate operations, mange rosters for 130+ volunteers and work directly assisting the Board to ensure the smooth operations.

A typical day could look like receiving food orders, coordinating volunteer rosters, hosting school tours or attending community meetings, preparing menus, rotating stock and responding to public enquiries via phone or social media.

This is a hands-on role with limitless opportunities to embed yourself into the local social services sector and provide a meaningful service to the community.

Key responsibilities

- Office Coordination: Respond to all inquiries received via phone, email, social media, and other platforms ensuring prompt and accurate communication with stakeholders

- Actively create a consistent social media presence in line with organisational goals

- Complete data audits to ensure currency and up to date information

- Roster and Volunteer Coordination: Administer volunteer rosters using established staffing requirements and coordination of 130+ volunteers via our online roster portal

- Conduct interviews with prospective volunteers, oversee onboarding and induction, and ensure all active volunteers are supported during operations





- Food Provision: Coordinate the collection and/or delivery of food and donations from various sources

- Oversee weekly procurement and organisation of food packaging, materials, food orders, and stock take

- Design weekly menus and recipe guides for volunteer cooks, including the responsibility of stock rotation weekly in line with food safety standards

- Facility Oversight: Oversee maintenance of facilities, including infrastructure and building repairs

- Public Relations and Stakeholder Collaboration: Act as the primary liaison between The Outpost Inc. and the broader community, promoting our mission and initiatives

- Cultivate and maintain relationships with donors, partner organisations, corporate sponsors, schools, and local organisations

- Represent The Outpost at external meetings and community events, strengthening community connection

- Produce newsletters monthly and quarterly to various community stakeholders

- Strategic Initiatives Implementation: Support end-to-end grant applications alongside the Board

- Coordinate logistics for Board-approved events and initiatives as required

What we're looking for

- Non-judgmental, empathetic, and open disposition with genuine respect for people from all walks of life, and a desire to serve the community

- Able to work independently and to an organised schedule of tasks

- Strong organisational, administrative, computer literacy and communication skills

- Experience or interest in food and menu creation – being able to improvise on a limited budget





- Demonstrated ability to coordinate multiple competing demands with time constraints

- Confident stakeholder liaison, interpersonal skills and being comfortable with public speaking

- Competency with digital tools including rostering systems, email, website, and social media platforms

- Current Victorian driver’s license and access to a car

- The incumbent must hold or be willing to obtain and maintain a valid Police and Working with Children Check (WWCC) and Food Safety Supervisor Certification.

Desirable:

- Experience in volunteer coordination, hospitality management, nonprofit administration, Marketing and / or stakeholder engagement
