The key duties of the position include:

The Role

An APS 5 Executive Assistant will be accountable for organising their workflow and making independent decisions relating to their area of responsibility. They will interpret and provide advice within the Corporate Services Function area based on legislation, policy and procedures. They will undertake specialist research and analysis, conduct reviews and perform procedural, clerical, administrative support work to achieve results.

The APS 5 Executive Assistant may coordinate and contribute to the work of a team consistent to a work plan and provide advice and assistance on methods of task completion to team members. They may be a team coach or supervise a team and be accountable to set work priorities, allocate work, and manage workflows and performance. They are expected to be capable of reviewing and developing the quality of work undertaken by others and identifying opportunities for on-the-job training within a work unit.

The APS 5 Executive Assistant may be required to engage and communicate with stakeholders to identify, respond and provide advice on issues to achieve work unit and Defence outcomes. They will be accountable to contribute towards ongoing self-improvement and professional development.

About our Team

Defence Intelligence Capability Division (ICD) manages and coordinates intelligence enterprise capability and support functions on behalf of the Chief of Defence Intelligence. The mission is to deliver integrated enterprise intelligence capability, including the management and development of the intelligence workforce.

To deliver leading edge intelligence capability to advance Australia’s interests, ICD is responsible for:





- Geospatial collection capabilities, including commercial space-based, and specialised mission and production systems applications, and expanded access to geospatial and intelligence data holdings in support of Defence’s strategic and operational requirements.
- Capability to enable the coordination and integration of intelligence, surveillance, reconnaissance and data across warfighting networks for joint-force effects.
- Investments in training, intelligence-discipline skilling and infrastructure to meet the needs of a growing intelligence workforce.

Our Ideal Candidate

The ideal candidate for the Defence Intelligence Capability Division Executive Assistant EA role would be a highly organised, proactive and professional individual with strong judgement, initiative and discretion. They should be confident in managing competing priorities, anticipating the needs of the executive and remaining calm and flexible in a busy, fast-paced setting.

Strong communication and interpersonal skills are essential, along with the ability to build effective working relationships with senior leaders, colleagues and stakeholders across Defence. The successful candidate should be approachable, dependable and a collaborative team member who can adapt their communication style to different people and situations.

Importantly,



they should fit well within the Defence Intelligence Capability Division team, contribute positively to the workplace culture and willingly support others when required. Strong attention to detail, reliability, professionalism and the ability to take ownership of tasks and follow them through to completion would make them well suited to the role.

Eligibility

Security Clearance:

Prior to commencement, successful applicants will be required to undergo a psychological assessment and an extensive security clearance process. As a Positive Vetting clearance is required, applicants must be Australian Citizens; be able to account for their personal background for their whole life; and be able to demonstrate suitability to work in a high security intelligence environment.
