About the Role
We are seeking an experienced Medical Receptionist / Administrator to join Evallies on a part-time basis - 2 day per week on Thursdays and Fridays (9am - 5am). With a high demand for Evallies services, offerings are expanding quickly and an increase of days is possible in the near future, if desired.
This role suits someone who enjoys a vibrant professional environment, values patient care, and takes pride in being highly organised, calm and detail oriented. No clinical background or mental health qualifications are required and full training is provided, including on our clinical escalation and safety protocols, so you're well supported in handling sensitive situations.
Key Responsibilities
Reporting to the Practice Manager, your responsibilities will include, but are not limited to:
Welcoming patients and visitors in a professional, friendly and discreet manner
Managing patient enquiries via phone and email with empathy and confidentiality
Scheduling and coordinating appointments across all service offerings
Ensuring all patient documentation is completed accurately and uploaded to medical records
Processing billing and payments,
including Medicare and private billing.
Managing deposits, appointment confirmations and recalls
Coordinating follow-up to support continuity of care
Providing administrative support to clinicians to ensure smooth clinic flow
Preparing, reviewing and sending correspondence to referring doctors and healthcare providers
Uploading and managing clinical documentation as required
End-of-day reconciliation and administrative checks with strong attention to detail
Maintaining a clean, organised and professional front-of-house environment
Prioritising tasks effectively in a fast-paced specialist setting
Previous experience in medical reception or administration desired
Excellent interpersonal, verbal and written communication skills
Strong organisational and time management abilities
High level of accuracy and attention to detail
Confidence using medical software and office systems
Ability to manage competing priorities while maintaining a high standard of patient care
Comfortable managing sensitive patient interactions with professionalism and discretion.
Experience in psychiatry or other specialist medical practices is highly regarded but not essential.
