What this opportunity involves:

As an Administrative Assistant, you'll be the welcoming face of our shopping centre, setting the tone for every visitor's experience from the moment they arrive. In this role, you'll ensure our reception operates seamlessly while supporting vital administrative functions across property and marketing operations. You'll manage everything from the switchboard and tenant registers to customer service bookings and marketing activations.

Your attention to detail, professionalism, and commitment to exceptional service will directly contribute to the smooth operation of the centre and the satisfaction of tenants, customers, and colleagues alike.

Key Responsibilities include:

Manage the Reception Switchboard, ensuring it is staffed at all times and that all calls are answered promptly with professionalism and care

Greet and assist customers, contractors, and visitors who enter the Reception area, delivering a consistently high standard of customer service

Maintain and regularly update all Shopping Centre registers, including Tenant Phone Lists, After Hours Contact Lists, Insurance Records, Bank Guarantees, Contractors Lists,



and Public Liability Registers as directed

Oversee the archive management system to ensure all records are current, accurate, and easily accessible

Manage the lost and found register and process, ensuring items are logged, stored securely, and reunited with their owners efficiently

Keep Reception, Utilities Area, Boardroom, and general office spaces clean, organized, and presentable at all times

Coordinate bookings for customer services such as wheelchair and mobility equipment, ensuring availability and excellent service delivery

Assist with collecting and entering tenant sales figures monthly and traffic figures daily to support centre reporting and insights

Support marketing activations and events, manage community bookings on the SML run sheet, and maintain the community notice board with weekly updates

Sounds like you? This is what we're looking for:

Proven experience in an administrative, receptionist, or customer service role

Excellent verbal and written communication skills with a strong customer service orientation

High level of proficiency in Microsoft Office applications (Word, Excel, PowerPoint, Outlook)

Strong organizational skills with meticulous attention to detail and accuracy

Ability to manage multiple tasks simultaneously and prioritize effectively in a fast-paced environment

Professional presentation and demeanor at all times

Previous experience in retail property management, shopping centre operations, or commercial real estate (preferred)

Familiarity with tenant coordination, contractor management, or property administration processes (preferred)

Understanding of financial documents such as invoices, bank guarantees, and insurance certificates (preferred)
