The Assistant Director, Property & Services is a key leadership role responsible for managing the Melbourne IP Office (MIPO) in a service delivery context while contributing to national property, facilities and environmental management outcomes. The role works under limited direction and exercises sound judgement, autonomy and accountability to deliver high-quality services, manage risk, and provide strategic and technical advice on property and facilities matters.

The position works closely with the Director, Property & Services, the MIPO executive sponsor, internal business areas, building management, service providers, contractors and other Commonwealth entities. The role is expected to lead a small team, maintain strong stakeholder relationships, resolve complex operational issues, and promote a culture of service excellence, compliance, continuous improvement and positive risk management.

The Assistant Director, Property & Services will:

- provide leadership for Property & Services activities at MIPO, including supervision, coaching and development of the MIPO Corporate Support Officer
- oversee management of day-to-day office operations, facilities support, site coordination, procurement, records management, security liaison, mail and freight services, and administrative support functions
- support the Director, Property & Services in managing building issues, lease matters, service delivery performance, supplier relationships and other operational priorities
- provide strategic and technical advice on property, facilities, accommodation, compliance, emergency management and environmental responsibilities
- liaise with the MIPO executive sponsor on strategic and policy matters, including local office priorities, stakeholder issues and whole-of-office planning
- manage complex and sensitive issues with internal and external stakeholders,



including escalated service matters, competing priorities and operational risks
- undertake contract management activities, including relationship management, performance monitoring and oversight of contracted services
- prepare complex correspondence, approval minutes, procurement documentation, reports, submissions, committee papers and briefing material
- coordinate and contribute to annual and periodic reporting, including property reporting, committee reporting, environmental reporting and responses to questions on notice
- maintain accurate records of project decisions, financial information, progress updates, meeting outcomes and controlled documents in accordance with policy
- ensure procedures, manuals, intranet content, induction material and reference documents are current, fit for purpose and stored in line with records management requirements
- oversee coordination of site awareness, access and facilities information for staff, visitors and contractors using the MIPO facility
- support emergency management arrangements, including coordination with building management and alignment with emergency management plans
- contribute to planning and delivery of property works, accommodation changes and continuous improvement initiatives
- promote behaviours consistent with the APS Values, APS Code of Conduct, IP Australia’s Capability Framework and a protected, inclusive and respectful workplace.

employees must be Australian citizens to be employed in the Australian Public Service (APS).

This screening check is conducted in accordance with the Australian Government Protective Security Policy Framework requirements.

We are looking to fill this position on an ongoing basis. Future positions may be offered on an ongoing or non-ongoing basis subject to operational requirements. Where a non-ongoing position is offered, the role will be filled for a specified term of up to 12 months.

At the end of the recruitment process, a merit pool of suitable candidates may be created. Those found suitable will be advised that they have been placed in the pool. The merit pool is valid for 18 months from the date the process was advertised. The merit pool may be used throughout the period to fill similar positions in the event positions become vacant.
